Job description

Responsible for:

  • Oversee all G702/G703 Pay Apps

    • Assist with associated lien waivers

  • Produce custom invoices from Buildertrend software or Quickbooks for clients monthly

  • Oversee categorization of CC receipts, track and categorize CC expenses from construction team/jobs

  • Support year end tax preparation (with bookkeeper and CPA), review final tax returns

  • Support software integrations

  • Oversee expense reports (tracking construction team spending)

  • Help streamline finance processes and AP/AR process

  • Organize all payment portals and login information

  • Send weekly financial reports such as profit and loss and balance sheet reports and track profits through construction software

  • Find new profit tracking and more accurate ways to show profits and loss in real time on all construction projects

  • Liaise between the internal team and outsourced bookkeeper or CPA

  • Oversee cashflow, ensure AR is above AP at all times

  • Maintaining plans for quarterly and yearly meetings to recap and plan for the future.

  • Manage all banking including (cash accounts, lines of credit, credit cards).

  • Managing accounts receivable requests as well as closeout paperwork, tenant improvement paperwork for owners/landlords at the end of projects.

  • Managing accounts payable and subcontractor payments from POs, ensure all payments are within original POs and no change orders are paid without PM approval

  • Managing account usernames and passwords and platforms (Google, Dropbox, Buildertrend etc). Add new employees and delete old employees.

  • Keeping a training program current to ensure all new employees get onboarded and trained properly (for finance/accounting department).

  • Keeping SOPs up to date as processes change within the department.

  • Assisting the President on any matters.

  • Managing the human resources department: payroll, HRIS system, maintaining state and federal laws. Adopting and enforcing policies that will be outlined in the Reliance Handbook

  • Run payroll weekly

  • Manage time off requests and time off accrual

  • Assisting with some construction specific duties such as:

    • Getting COIs for Reliance Contracting and subcontractors

    • Assist with permits and uploading documents to portals and internal software

    • Assist with managing POs and change orders in Buildertrend and in AP/AR systems
