Transfer Evaluation Analyst
Registrar's Office/Academic Records & Services
Job Overview
  • Reporting to the Assistant Registrar, the Transfer Evaluation Specialist supports the evaluation of transfer credit for prospective, new incoming, and transfer students for the undergraduate and Graduate School at Wheaton College. This position may provide transfer advising services to enrolled students and faculty advisors. This position works collaboratively within the Registrar's Office and with the Admissions, Academic Advising, Academic & Institutional Technology, Global Programs and Studies, and undergraduate and graduate academic offices and faculty.
  • This position is full-time, 40 hours/week, 12 months/year, and pays $52,000 - $55,000 annually. Will occasionally require some evening and weekend hours.

Duties and Responsibilities
  • Receive transcripts, and in collaboration with faculty as needed, evaluate transfer credits for undergraduate and graduate students. Apply transfer credits to student records for both undergraduate and graduate students.
  • Provide transfer credit information to advisors for sharing with prospective and admitted students.
  • Assist faculty and the Global Programs and Studies Office with proactive evaluation of transfer credits for domestic and off-campus study abroad programs.
  • Maintain an online database of transfer evaluation decisions (Transfer Evaluation System/Transferology) for domestic institutions and study abroad/off-campus programs for utilization by current and prospective students.
  • Provide training for admissions and advising staff on institutional transfer databases and aids.
  • Review and process undergraduate Transfer Credit Agreements and Study Abroad Transfer Credit Agreements, in collaboration with faculty.
  • Evaluate courses and respond to requests from students to take courses through the online Acadeum consortium program.
  • Manage the Course Review petition process for re-evaluation of Christ at the Core transfer credit decisions.
  • Process transcripts for students participating in the Liberal Arts Engineering, Liberal Arts Nursing, and approved study abroad off-campus programs.
  • Process students' credit by examination, competency equivalencies, and the completion of other non-course requirements.
  • Assist with the preparation of teach-out agreements and transfer articulation agreements for students from other institutions.
  • Utilize document management system for maintaining student records per the guidance from the Registrar's Office as the custodian of student records.

Professional Qualifications
  • Bachelor's degree required.
  • 2 years of experience within an administrative office setting, preferably higher education. Previous Registrar's Office experience desired.
  • Working knowledge of Microsoft Office suite is necessary. Working knowledge of relational databases is desired; Banner, Degree Works, and Slate experience preferred.
  • Effective oral and written communication skills.
  • Ability to interact professionally and effectively with faculty, students, administrators, and staff.
  • Excellent attention to detail.
  • Ability to organize and monitor data.
  • Ability to think critically.
  • Proven self-starter and able to work independently and as part of a team.
  • Must be able to handle sensitive, confidential information in a mature, professional manner and be familiar with FERPA.
