Job description

We're seeking a Mid-Level Subcontracts Administrator to join our Federal Procurement team supporting critical U.S. Government programs. This position plays a vital role in managing the full subcontract lifecycle—from solicitation through closeout—while ensuring compliance with Federal Acquisition Regulations (FAR), Defense Federal Acquisition Regulation Supplement (DFARS), and Contractor Purchasing System Review (CPSR) requirements.

The ideal candidate is detail-oriented, highly organized, and experienced in government subcontract administration, Deltek Costpoint, and maintaining audit-ready procurement files.


What You'll DoCradle-to-Grave Subcontract Administration
  • Execute full lifecycle subcontract actions from approved purchase requisition through subcontract closeout.
  • Prepare, issue, administer, and modify subcontracts, purchase orders, and related procurement documentation.
  • Coordinate internal reviews and approvals while ensuring required contract flowdowns are incorporated.
  • Maintain complete subcontract files that support audit readiness and regulatory compliance.
Procurement & Source Selection
  • Support competitive solicitations including RFQs and RFPs.
  • Coordinate supplier communications and document source selection decisions.
  • Assist with subcontract type selection and acquisition planning.
  • Maintain supplier evaluation documentation and procurement records.
Pricing & Negotiation Support
  • Prepare and maintain price analysis and technical evaluation documentation.
  • Support negotiation activities and prepare negotiation memorandums.
  • Collect and maintain certified cost or pricing data and other required procurement documentation.
  • Ensure all award documentation meets company policy and FAR/DFARS requirements.
Contract Administration
  • Process subcontract modifications, funding changes, and period of performance updates.
  • Maintain subcontract value tracking and modification logs.
  • Coordinate invoice processing with Finance and Operations.
  • Support receiving and acceptance activities while maintaining complete procurement documentation.
Deltek Costpoint Administration
  • Enter and maintain subcontract and procurement data in Deltek Costpoint.
  • Update purchase orders, modifications, funding actions, subcontract values, and procurement records.
  • Ensure Costpoint data matches executed subcontract documents and procurement files.
  • Generate procurement reports and support management reporting requirements.
Compliance & Records Management
  • Maintain secure procurement files within SharePoint.
  • Ensure files are complete, traceable, and audit-ready.
  • Support CPSR reviews, internal audits, and corrective action initiatives.
  • Maintain procurement records in accordance with company policy and FAR retention requirements.
  • Assist with supplier performance evaluations and procurement closeout documentation.

Required Qualifications
  • 3–6 years of government subcontract administration or procurement experience
  • Experience supporting cradle-to-grave subcontract administration for U.S. Government contracts
  • Working knowledge of:
    • FAR
    • DFARS
    • Government subcontracting principles
    • CPSR documentation requirements
  • Experience preparing:
    • Price analyses
    • Negotiation memorandums
    • Source selection documentation
    • Contract modifications
  • Experience maintaining audit-ready procurement files
  • Proficiency with:
    • Microsoft Office Suite
    • Microsoft Teams
    • Microsoft Outlook
  • Hands-on experience using Deltek Costpoint procurement and subcontract administration modules
