Our company is looking for a professional front desk clerk to oversee all receptionist and secretarial duties at our main entrance desk. You will perform a range of duties including answering phone calls, managing the mail, and maintaining the office.
Your central goal is to provide our clients with outstanding customer service and support. As the โ€ข face' of our company, the successful candidate will be presentable and friendly, with outstanding people's skills. You should have a talent for multi-tasking, with excellent communication and organizational skills.
Job Duties:
  • Greet guests and provide them with superb customer service.
  • Ensure the front desk is neat, organized, and equipped with all the necessary supplies such as pens, forms, and paper.
  • Accept all deliveries and packages and distribute them to the appropriate person.
  • Monitor calendar and prepare emails.
  • Maintain inventory of office supplies and supplies/drinks to place order every other week.
  • Offer water, coffee, or soda to all guests.
  • Schedule conference room for meetings.
  • Answer and transfer all calls to the appropriate legal teams or department.
  • Clean conference rooms after meetings and always keep presentable.
  • Ensure the kitchen and supply room are fully stocked and clean.
  • Put away office supplies/snacks deliveries and break down all delivery boxes.
  • Pick up all mail from mailbox daily.
  • Process all daily incoming mail by opening and scanning.
  • Scan all incoming mail into the correct file.
  • Distribute scanned mail to teams.
  • Proficient use of scanning, copying and postage machines.
  • Process all outgoing mail, including FedEx.
  • Drop off daily outgoing mail in mailbox. and schedule a FedEx pickup if needed.
  • Upload all client records from CDs and jump drives into client's file.
  • Scan all settlement checks into client file and follow checks process.
  • Have excellent communication skills.
