ABOUT THE EMPLOYER:

JOB SUMMARY:

This role primarily supports the Human Resources Department by providing administrative assistance across a variety of HR functions, including employee onboarding, personnel records management, recruitment support, benefits administration and other HR initiatives. In addition, the position provides clerical support to the Accounting Department by assisting with basic routine tasks as assigned.

ESSENTIAL JOB FUNCTIONS:
  • Assist with onboarding new hires including email correspondence, preemployment screening and electronic documents.
  • Assist with updating employee information in HRIS system as needed.
  • Assist with the visa program application and filing, ensuring all pertinent deadlines are met as needed, including embassy appointment communication, flights booking and reimbursement processing.
  • Assist with the monthly employee benefit reconciliation reports.
  • Run monthly reports, such as employee benefit eligibility, birthday list, employee anniversary list.
  • Assist with drafting, scheduling and distributing employee birthday and anniversary cards and applicable perks.
  • Assist with the Employer Housing Program including housing onboarding/offboarding and inspection presence as needed.
  • Support employee appreciation and recognition events, such as preparing Employee awards, photos and any celebrations.
  • Maintain current knowledge and understanding of regulations, industry trends, current practices, new developments and applicable laws regarding human resources.
  • Maintain absolute confidentiality and integrity of all Human Resources functions.
  • Pick up and distribute mail from PO Boxes and Office Mailboxes and assist with shipping needs.
  • Collect physical invoices from the culinary department.
  • Scan and save invoices to be uploaded into accounts payable software.
  • Upload invoices into accounts payable software.
  • Add daily check payments received to the check deposit log.
  • Assist with Member correspondence via mobile app.
  • Assist with other administrative duties as assigned by the department supervisor.

  • ESSENTIAL REQUIREMENTS:
  • Associate’s degree or equivalent relevant experience
  • Minimum of two (2) years of experience in HR would be ideal
  • Proficiency in Microsoft office Suite
  • Able to lift and carry equipment or containers weighing up to 25 lbs.
