Job description

Summary:

The Mail Services Associate is responsible for receiving, sorting, and distributing incoming mail and parcels, collecting outgoing mail, preparing outbound shipments, and maintaining accurate logs and inventory of mailing supplies. The role requires strong attention to detail, reliable data entry skills, safe handling of carts and equipment, and the ability to deliver excellent customer service while working independently or as part of a team. Must be able to lift up to 50 lbs., handle confidential materials appropriately, and be proficient with MS Office and mailroom processes

Responsibilities:

  • • Ensure that safety and security procedures are followed at all times.
    • Receive all inbound courier packages and follow existing building delivery procedures.
    • Follow different procedures in handling both inbound and outbound packages of various weights.
    • Insure that all packages are scanned and processed correctly.
    • Use of handheld device to electronically record delivery time and signature of recipient.
    • Make certain all packages are handled in a time sensitive manner in accordance with all client building delivery requirements.
    • • Perform miscellaneous office services task as assigned
    • Main tasks will be upon requests from internal client/dispatcher to retrieve items for outgoing messenger delivery or acquire information for external pick ups.
    • Other duties as assigned by supervisor and/or Manager

Qualifications:

  • • Two years or more of experience in an office environment.
    • 2-3 years' experience with Microsoft Office Software (Word, Excel, Outlook).
    • Strong work ethic; diplomatic; team and service oriented; builds strong working relationships.
    • Exhibits superior verbal communication and phone skills.
    • Exhibits exceptional customer service skills.
    • Consistently demonstrates professional demeanor, appearance and attitude.
    • Proven ability to remain calm under pressure; resilient.
    • Sound judgment and problem-solving ability.
    • Able to appropriately handle confidential and highly sensitive material.
    • Demonstrated ability to be flexible and adapt to an ever-changing work environment.
    • Assertive and resourceful; motivated; willing to ask questions and take initiative without direction.
    • Must be able to lift 50lbs.
