About the Role

We are seeking a highly organized and detail-oriented Legal Administrative Specialist to provide essential administrative, legal filing, and records support across our personal injury, commercial litigation, nonprofit, and general counsel practice areas.

This role is ideal for someone who enjoys keeping files, documents, calendars, and office operations organized while working closely with attorneys and legal staff. The successful candidate will be comfortable handling confidential information, managing competing priorities, and working in a fast-paced professional environment.

Key Responsibilities

  • Maintain organized electronic and physical client and case files.
  • Scan, index, label, and upload legal documents, medical records, pleadings, discovery materials, and correspondence.
  • Prepare, file, and serve legal documents through electronic filing systems and court portals.
  • Process incoming and outgoing mail, legal filings, certified mail, and courier deliveries.
  • Monitor court dockets and maintain attorney calendars, including hearings, depositions, mediations, appointments, and filing deadlines.
  • Provide professional phone coverage, take detailed messages, and direct calls appropriately.
  • Maintain file rooms and prepare closed or inactive files for storage or shredding according to retention requirements.
  • Monitor and order office, kitchen, and printing supplies.
  • Assist attorneys and legal staff with copying, scanning, binding, trial binders, and exhibit folders.
  • Perform other administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree or relevant administrative certification preferred.
  • 3–5 years of administrative, clerical, or office support experience required.
  • Legal, law firm, corporate legal department, or court experience strongly preferred.
  • Experience with Georgia legal e-filing platforms such as PeachCourt, Odyssey, or PACER is strongly preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Proficiency with Microsoft Word, Excel, Outlook, and standard office technology.
  • Ability to learn and use cloud-based case management and electronic filing systems.
  • Professional communication skills with clients, court personnel, vendors, and legal professionals.
  • Ability to maintain strict confidentiality when handling sensitive and privileged information.
  • Strong time-management skills and the ability to prioritize multiple deadlines.
