About the Role

The Administrative Assistant serves as the face and voice of Vermillion, handling a variety of administrative, reception, and clerical tasks in support of multiple departments. This high-visibility role provides direct assistance to the President, as well as to HR, Accounting, and Customer Service, ensuring smooth day-to-day operations. Key responsibilities include managing phone and front desk reception, organizing mail, preparing materials, maintaining shared areas, and supporting internal communications and events. Your work will help keep our team connected, organized, and operating efficiently.


Essential Job Duties and Responsibilities

  • Answer incoming phone calls promptly; assisting callers or redirecting to the appropriate destination
  • Greet and assist visitors in a professional manner
  • Act as a gatekeeper by answering general questions and ensuring that unsolicited calls/visitors are not forwarded
  • Prepare outgoing mail for Post Office carrier; sort and distribute incoming mail
  • Assist other departments as necessary
  • Handle general administrative duties, including filing, copying, and data entry
  • Ensure storage, supply areas, breakroom and public areas and clean and organized
  • Prepare marketing materials for internal advertisements
  • Perform assigned HR and Accounting tasks
  • Lead and promote internal events, including employee celebrations and wellness committee events
  • Perform other duties as assigned

Qualifications

  • High School Diploma or GED required
  • Maintain a professional appearance and a positive attitude with all interactions
  • Strong interpersonal communication skills, both written and verbal
  • Experience working with multi-line phones and working knowledge of office equipment
  • Working knowledge of computers, including Microsoft Office applications (e.g. Word, Excel, PowerPoint)
  • Ability to type at least 40 wpm and basic 10-key knowledge
  • Ability to lead activities as assigned
  • Attention to detail
  • Ability to manage and complete multiple tasks
