Job Summary:  

The Lead Clinic Office Associate will operate as a leading expert in coordinating front office operations and communications with patients and PIHC staff. This position requires commitment to office synergy and cultivating a welcoming environment for our patients.

It is intended to identify the major responsibilities and requirements of this position. The incumbents may be requested to perform job-related responsibilities and tasks other than those stated in this position description.


JOB DUTIES & RESPONSIBILITIES:

Essential Duties, Tasks, and Responsibilities:

  • Coordinate and manage front office operations to ensure staff are engaged and performing tasks accurately and in a professional manner. Tasks include, but are not limited to:
  • Answering and screening multiple phone lines in a professional and courteous manner.
  • Patient registration and collecting patient information and documents upon completion
  • Properly scanning and storing patient documents in EMR
  • Posting payments, completing transactions, and performing other medical billing tasks as assigned.
  • Properly completing medical record requests
  • Ensuring patients receive appointment reminders
  • Maintaining compliance with HIPAA policy at all times 
  • Communicate with patients as it relates to past due balances
  • Schedule reconciliation
  • Manage front desk staff work schedules and utilize administrative support staff when necessary to maintain coverage. 
  • Communicate with Site Nurse Manager to block, open, and structure provider schedules.
  • Maintain and monitor front office supply inventory and follow proper financial procedures when placing orders.
  • Oversee the training of new front desk staff and report progress to their direct supervisor as it relates to the 60-day workplan.
  • Manage the check-in and check-out patient flow.
  • Monitor and maintain the appearance of the lobby area. 
  • Identify and recommend solutions to improve front desk tasks and procedures
  • Encourage the use of exemplary customer service skills amongst staff when interacting with patients.
  • Professionally screen patient concerns and complaints and communicate corrective action plans with direct supervisor, when necessary.
  • Reconcile daily receipts and money collected with end-of-day reports to confirm money balances and then prepare individual deposit.
  • Sort and distribute incoming mail.
  • Cultivate a work environment that encourages teamwork, effective communication, and accountability with all PIHC staff.
  • Perform other job-related duties as assigned. 



Requirements


MINIMUM QUALIFICATIONS & EXPERIENCE :

Minimum of two years' experience in a medical Front Office environment, including basic medical billing experience

 And

Experience in working with indigent and culturally diverse populations


PREFERRED KNOWLEDGE, SKILLS, ABILITIES & OTHER APTITUDES (KSAOs):

Experienced in working with indigent and culturally diverse populations

Knowledge of basic medical office billing and insurance knowledge. Medicaid/Medicare knowledge a plus.

Knowledge of Medical Terminologies

Must have great communication skills, (writing, spelling, listening and speaking)

and interpersonal skills

Must have strong computer and EMR skills, and have a positive, friendly and helpful demeanor.

Must have excellent customer service skills and warm personality.

Must have ability to work in a fast-paced environment and paying attention to detail.

Ability to maintain high level of confidentiality and have empathy for our clients

Ability to follows through to completion of assigned tasks

Ability to multi-task, be detail oriented, be patient focused,

Ability to maintain a professional appearance,

Ability to work as a team member

Ability to resolve problems

Ability to work without close supervision


TRAVEL:

Occasional travel to events for training and promotion of salient services to AIDS Service Organizations.
