Job description

Position Function:

The Mailroom Specialist is responsible for overseeing and supervising the day to day operation of Mailroom. Also ensures that all incoming inter-office / USPS / Fed-Ex / UPS mail are sorted and accurately inserted in respective department mail receptacles and delivered/picked-up on time. Oversees and manages CPB car pool fleet. Ensure that the CPP-3 & CPP 5th floor employee lunchroom is clean and well maintained with supplies. Responsible for other duties assigned by the Procurement Manager and/or Properties Division Manager

Primary Accountabilities:

  • Daily ensures that all incoming inter-office mail from Operations Center, USPS mail from PO Boxes 3590 & 1400 is sorted and distributed to the respective Branch or Department.
  • Daily routine checks of USPS Lockbox, location on Lobby Level of Central Pacific Plaza.
  • Aids General Services Specialist and ensures that inter-office envelopes and USPS mail are accurately sorted to each respective department mail receptacles for distribution.
  • On a weekly basis, ensures that all incoming inter-office mail received are accurately sorted for distribution and/or prepared for FedEx shipment to respective branches or departments.
  • Verifies ACH, EBD, WT&S and Deposit Servicing mail received, are properly sorted and consolidated for delivery to Computer Operations & Loan Operations via Security Courier Service or Inter-Department Mail Delivery.
  • Twice daily at 8am and 1pm, ensures timely delivery and pick-up mail from CPP Bank occupied spaces, as follows – Main Branch, Mezzanine, 2nd, 4th, 5th, 6th, 7th, 8th, 11th, 14th, 17th, 20th, 21st and 22nd floors.
  • Daily ensures that all outgoing USPS mail pieces are accurately sorted, counted, bundled and the number of pieces listed per cost center in preparation for 1:30pm pick-up by Cardinal Presort Services (CPS) – the Bank's mail processing vendor.
  • Daily, processes all incoming eProps for business calling cards and rubber stamp orders.
  • Process all incoming orders and submit invoices for payment with Controllers (Accounts Payable).
  • Daily ensure that the CPP-3 & CPP- 5 Employee Breakrooms are properly maintained.
  • Responsible for the maintenance of the coffee equipment and reordering of supplies and other consumables, for CPP-3 and CPP-5 Employee Breakrooms.
  • Oversees and monitors the Vending Machines on CPP-5 Breakroom, for any service issues and reimbursements.
  • Weekly inspection of CPB Carpool vehicles (2019 Toyota Hybrid Camry and 2015 Nissan NV200 Van) to ensure proper operating condition.
  • Monthly, inspection of CPB Carpool vehicles (2019 Toyota Hybrid Camry and 2015 Nissan NV200 Van) for any required maintenance or service required.
  • On a monthly basis, inspect first aid kits located at CPP departments to ensure that the kits are properly filled and OHSA compliant.
  • Maintains a par supply of the first aid supplies and submits monthly on hand inventory and allocations for end month reconciliation report, for controllers.
  • As requested, processes Request for Driver Abstract, from District Court of the First Judicial Circuit-State of Hawaii from Controllers.
  • As needed, schedule General Services Specialist for car wash / service when vehicles are not in use.
  • As required, prepares direct report’s annual PMP.
  • As required, provides back-up to General Services Specialist.

Minimum Qualifications:

Education:

  • High School Diploma or GED equivalency required.

Experience:

  • 1+ years of previous mailroom or applicable experience required.

License/Certification:

  • Valid State of Hawaii Driver’s License required.


Physical Requirements & Working Conditions:

  • Must be able to perform light physical work and to move or lift items including but not limited to boxes, files and papers up to 20 pounds unless otherwise as indicated.
  • Must be able to operate and proficiently use standard office equipment, including phone, copier, personal computer and/or other work related mechanical or electronic devices and applications.
  • Must be able to clearly communicate verbally and in writing with all internal and external customers. Must also be able to hear sufficiently to engage in daily discussions and interactions.
  • Must be able to read and understand bank-related documents.
  • Must be able to work in a conventional office setting, involving sitting at a desk or workstation for long periods of time. Must also be able to adapt to different work environments as needed to perform the job.
