Job Description
The ideal Receptionist/Accounts Receivable Specialist candidate will be well organized and exhibit high standards, excellent communication skills, an ability to take initiative, and prioritize daily tasks in a busy office environment will ensure success in this role.
This position maintains security by logging all visitors and issuing visitor passes while answering incoming phone calls and assisting with all front desk duties. This person must be able to multi-task and comfortable with high volume phone and visitor traffic and must have a pleasant disposition and work well with others. This position also handles clerical duties of the accounts receivable department including, but not limited to, managing the Accounts Receivable general email mailbox, obtaining customer credit references, preparing customer data for Accounts Receivable Manager including credit lines, sales, and payment history.
Essential responsibilities include
  • Greet clients, vendors and visiting staff at the front desk
  • Answer phone calls and route calls to appropriate staff
  • Receiving office deliveries, signing for the company as necessary
  • Distributing incoming mail to appropriate departments
  • Printing and mailing invoices daily
  • Manages Accounts Receivable general email mailbox
  • Obtains customer credits references
  • Prepares Customer Data including credit lines, sales, and payment history
  • Drop Ship Billing
  • Assist/backup other administrative team members as needed
  • Other duties as assigned by management

Qualifications and Experience
  • Courteous and friendly
  • Strong customer service skills
  • Proficient in Microsoft Office Programs, especially Word and Excel
  • Excellent data entry skills
  • Effective oral and written communication; excellent interpersonal skills
  • Ability to handle workload effectively; maintain close attention to detail and prioritize workload appropriately
  • Ability to manage multiple tasks and changing priorities
  • Excellent organizational skills
  • The ability to collaborate with a multi-department team
