Job description

We are looking for someone to provide administrative support to the Executive Director of Marketing and Senior Housing for our independent living apartments at Luther Park Community. This is a full-time position from 8am-4:30pm Monday through Friday. This individual will serve as the first point of contact for residents,families and employees. Independent judgment is required to plan, prioritize and organize a diversified workload.
ESSENTIALFUNCTIONS:
AdministrativeSupport
  • Perform customer service functions by assisting residents and family members and directing them to the appropriate person.
  • Answer phones and direct calls to the appropriate person.
  • Provide administrative support to Executive Director of Marketing and Senior Housing.
  • Assist with census development by conducting and scheduling tours and assembling admission packets with current information.
  • Enter new tenant information into PCC, run reports and update as needed.
  • Maintain resident roster and provide occupancy reports.
  • Monitor doors and video cameras and report any concerns to the director.
  • Keep "information board" current
  • Order office supplies as needed.
  • Distribute mail/packages/notifications to tenants doors.
  • Maintain calendar of tenant appointments and coordinate transportation when needed.
  • Assist with staff meetings, community events, independent living week etc.
  • Manage booking of guest apartment rentals and community room.
  • Update Emergency Preparedness binders monthly.

Accounting
  • Assist with distribution of tenant invoices.
  • Enter payment in PCC/Accounting System.
  • Manage collection of past-due accounts.
  • Assist with deposits and accounting of revenue from resident payments.
  • Process resident departures from facility within 30 days.
  • Assist with Section 8 move ins and payments.
  • Process invoices for accounts payable.
  • Collect guest and resident dining forms and send to finance department for processing.

Marketing
โ€ข Manage marketing efforts for the Independent Living buildings.
โ€ข Take photos, create appropriate content for social media and other marketing materials.
โ€ข Work with Executive Director of Senior Housing& Marketing to develop and implement marketing strategies to maintain strong occupancy.
Other Responsibilities
โ€ข Comply with Luther Park Communitypolicies and procedures.
โ€ข โ€ข Coordinate social events.
โ€ข Coordinate monthly meetings.
QUALIFICATIONS:
High school diploma orGED required.
Minimum of one year ofadministrative and/or billing experience.
Strong attention todetail and math skills required.
Ability to work independently and as a team.
High level of proficiencywith computer programs including but not limited to Outlook, Word, Excel andPointClickCare.
Excellent written andverbal communication skills.
Ability to build effective relationships with people of all backgrounds.
Highly organized.
Must be able to pass a background check and pre-employment physical and drug screen.
