We are seeking an experienced Accounts Receivable Specialist to join our accounting team. The ideal candidate will be highly organized, detail-oriented, and experienced in managing receivables for large retail customers. Candidates with experience working with major retailers such as Menards, Lowe's, Home Depot, Walmart, Costco, or other national accounts are strongly encouraged to apply.

Position Summary

The Accounts Receivable Specialist is responsible for managing customer invoicing, account reconciliation, collections, payment processing, and customer account maintenance. This position plays a key role in ensuring timely customer payments while maintaining accurate records and supporting strong customer relationships.

Experience handling retailer deductions, chargebacks, invoice discrepancies, customer compliance requirements, and high-volume billing environments is highly desirable.

Key Responsibilities

  • Process and maintain accurate customer invoices and account records.
  • Match purchase orders, invoices, and supporting documentation.
  • Research and resolve customer billing disputes, deductions, shortages, and payment discrepancies.
  • Monitor customer accounts to ensure timely payment and collection of outstanding balances.
  • Review and enter information from driver logs and related documentation.
  • Generate reports and assist with account reconciliations.
  • Respond to customer inquiries regarding invoices, payments, and account status.
  • Sort and process incoming mail.
  • Maintain organized electronic and paper filing systems.
  • Assist with incoming phone calls and general office support duties.
  • Perform other accounting and administrative responsibilities as assigned.

Qualifications

Required

  • Minimum of 2 years of Accounts Receivable, billing, or general accounting experience.
  • Strong attention to detail and commitment to accuracy.
  • Ability to manage multiple priorities in a fast-paced office environment.
  • Strong organizational, analytical, and problem-solving skills.
  • Proficiency with Microsoft Excel, Word, and Windows-based computer systems.
  • Experience with 10-key data entry and standard office equipment.
  • Excellent customer service and communication skills.

Preferred

  • Experience managing Accounts Receivable for large retail customers such as Menards, Lowe's, Home Depot, Walmart, Costco, Kroger, Meijer, or similar national accounts.
  • Experience handling customer deductions, chargebacks, compliance-related claims, and account reconciliations.
  • Familiarity with retailer portals, EDI transactions, and customer compliance programs.
  • Experience with Microsoft Dynamics 365 (Navision) or similar ERP/accounting software.
  • Experience in manufacturing, wholesale distribution, consumer products, landscape products, or building materials industries.
