Office Operations & Scheduling Coordinator:

Company: Student Watchers
Location: Hyattsville, Maryland 


Employment Type: Seasonal, part-time position with an anticipated increase to full-time hours during the peak student travel season from March through June. Hours may vary based on operational needs, and continued employment beyond June may be available but is not guaranteed.


Hourly Rate: $19.00-$20.00 per hour


Anticipated Schedule: This position will have part-time hours from October through February. The specific part-time schedule and available flexibility may be discussed during the hiring process.


Beginning in March, the position is expected to increase to a full-time seasonal schedule of Monday through Friday, 11:00 a.m. to 5:00 p.m. All scheduled hours are tentative and may change based on seasonal and operational needs. Flexible start and end times may also be available.

Position Overview:

Student Watchers is seeking a dependable, organized, and detail-oriented Seasonal Office Operations & Scheduling Coordinator to support our busy travel season. The selected candidate will begin in October 2026 to prepare for the student travel season, which runs from March through June. From November through February, the employee will participate in training, planning, recruitment, scheduling preparation, and other preseason operational activities. 


This position oversees daily administrative operations, coordinates agent scheduling, and helps ensure effective communication across departments. The ideal candidate is an experienced administrative professional who can successfully manage competing priorities, exercise sound judgment, maintain confidentiality, and remain composed in a fast-paced environment. This is a seasonal position that requires flexibility and close attention to changing client and staffing needs.


Key Responsibilities:


Office Operations and Administration:

  • Support daily office operations, including responding to phone and email inquiries, greeting visitors, and coordinating the assembly of welcome packages.
  • Organize and maintain office records, files, databases, and other documentation.
  • Coordinate office supplies, inventory, maintenance, and repair needs.
  • Communicate professionally with employees, agents, clients, vendors, suppliers, and service providers.
  • Perform other related duties and seasonal projects as assigned.

Scheduling and Logistics:

  • Coordinate daily scheduling activities for client reservations in collaboration with the logistics and scheduling coordinators.
  • Review schedules for accuracy and ensure there are no staffing conflicts, gaps, or duplicate assignments.
  • Prepare weekly agent schedules based on client reservations, operational requirements, agent qualifications, and availability.
  • Maintain the agent database and assign shifts objectively while considering client priorities and business needs.
  • Monitor staffing needs and respond promptly to last-minute changes.
  • Manage agent cancellations, callouts, and scheduling conflicts as they occur.
  • Maintain accurate records of agent attendance, reliability, conduct, and overall performance.
  • Use documented performance information to support fair and informed scheduling decisions.
  • Communicate schedule changes and assignment information clearly and promptly to the appropriate staff members and agents.


Required Knowledge, Skills, and Abilities:

  • Knowledge of general administrative practices, regulations, and standard operating procedures.
  • Ability to create, update, organize, and maintain documents, schedules, databases, and automated records.
  • Strong organizational, scheduling, and time-management skills.
  • Ability to prioritize assignments and determine what actions are needed based on organizational goals and operational demands.
  • Ability to exercise sound, objective, and professional judgment when making scheduling decisions.
  • Ability to work effectively in a fast-paced environment with frequent changes and competing priorities.

Education and Experience:

  • High school diploma or equivalent required.
  • Experience in office administration, scheduling, logistics, operations, or a related role.
  • Experience managing staff schedules or shift-based assignments strongly preferred.
  • Experience in the student travel, hospitality, security, staffing, or seasonal-services industry is a plus.

Compensation and Benefits:

  • Pay: $19.00-$20.00 per hour
  • Pay Schedule: Employees are paid weekly on Fridays.
