FULL DESCRIPTION: We are seeking a Program Manager Assistant to support program management, customer communication, data entry, documentation, project tracking, meeting coordination, and administrative functions in a manufacturing environment. This role is responsible for assisting Program Managers with sales order entry, RMA processing, quote proposals, resource coordination, meeting minutes, action item tracking, schedule updates, customer communication, and maintaining accurate program documentation. The ideal candidate will have strong administrative experience, excellent organization skills, customer-facing experience, Microsoft Office proficiency, and the ability to communicate professionally with internal teams and external customers.

The selected candidate will be responsible for:

  • Performing data entry using Microsoft Office tools
  • Entering sales orders, RMAs, and quote proposals in the MRP system and quoting software
  • Managing resources and tracking task assignments through Asana or related workflow systems
  • Assisting Program Managers with scheduling meetings, preparing agendas, and coordinating logistics
  • Handling correspondence and maintaining program-related documentation
  • Attending production and customer backlog meetings
  • Taking accurate meeting minutes and distributing them to relevant parties
  • Tracking action items and following up on outstanding tasks
  • Monitoring program progress and performance metrics
  • Updating and maintaining project plans, schedules, and reports
  • Serving as a point of contact between Program Managers and stakeholders
  • Facilitating effective communication and ensuring timely sharing of information
  • Communicating regularly with customers and providing overall program status updates
  • Organizing and maintaining program documentation, including reports, presentations, and records
  • Ensuring documents are up to date, accurate, and accessible
  • Supporting administrative projects and program coordination as needed
  • Performing other duties as assigned

The selected candidate will also possess:

  • Bachelor's degree in Business Administration or a related field preferred
  • At least 2 years of related experience required
  • 3+ years of administrative support experience preferred
  • Experience in the electronics manufacturing industry preferred
  • Strong customer or client-facing experience required
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem-solving skills
