Job Summary:
The Sales Operations Specialist serves as the primary coordinator between the Sales Team, Warehouse Team, Finance, Logistics providers, Customs Brokers, and suppliers to ensure successful execution of customer orders. This position is responsible for order processing, inventory tracking, import coordination, shipment visibility, and customer fulfillment activities related to sale products. This position plays a critical role in ensuring product availability, maintaining inventory accuracy, supporting customer deliveries, and facilitating communication across departments to meet customer expectations.
Key Responsibilities:
Sales Order Management
• Receive and process customer orders, forecasts, and demand plans from the Sales Team.
• Coordinate with Finance to generate purchase orders.
• Submit purchase orders and shipping instructions to suppliers.
• Ensure all required internal approvals are completed prior to order placement.
• Track order status and provide updates to the Sales Team.
• Support customer service activities related to order fulfillment and product availability.
Inventory Management & Sales Support
• Maintain inventory records and shipment tracking for all incoming products.
• Monitor inventory levels and provide regular inventory reports to the Sales Team.
• Coordinate with Sales and Warehouse teams to ensure adequate inventory availability.
• Identify aging, slow-moving, or expired inventory and work with Sales on inventory reduction strategies.
• Maintain inventory information within internal systems and external warehouse management systems (WMS).
Import & Shipment Coordination
• Coordinate product shipments from suppliers to customer locations or third-party warehouses.
• Collect and maintain shipping documentation including commercial invoices, packing lists, bills of lading, ISF filings, and related import documents.
• Work with customs brokers to facilitate customs clearance activities.
• Monitor inbound shipments and communicate shipment status, ETAs, and delays to internal stakeholders.
• Ensure required import documentation is completed accurately and submitted on time.
Logistics & Warehouse Coordination
• Coordinate inbound deliveries to warehouses and customer locations.
• Schedule container deliveries with carriers, warehouses, and third-party logistics providers.
• Communicate delivery schedules and shipment updates to the Warehouse Team.
• Confirm receipt of products and investigate inventory discrepancies or shipment damages.
• Maintain transportation quotes and coordinate delivery services as needed.
Cross-Functional Communication
• Serve as a key liaison between Sales, Warehouse, Finance, Logistics providers, Customs Brokers, and suppliers.
• Support operational planning by providing inventory, shipment, and order status updates.
• Maintain organized records and documentation for inventory, import activities, and customer orders.
• Assist with process improvements to enhance order fulfillment efficiency and inventory visibility.
Requirements
Required Qualifications:
Education & Experience:
• Associate's degree or Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Operations, or a related field preferred.
• 2+ years of experience in sales operations, customer service, inventory management, logistics coordination, or supply chain support.
• Experience working with inventory systems, ERP systems, or warehouse management systems preferred.
• Experience with import/export documentation is a plus.
Preferred Qualifications:
• Strong organizational and follow-up skills.
• Excellent communication and coordination abilities.
• Proficiency in Microsoft Excel and Microsoft Office applications.
• Ability to manage multiple priorities and deadlines.
• Strong attention to detail and problem-solving skills.
• Ability to work effectively with both Sales and Warehouse teams in a fast-paced environment.
