Operations Administrative Assistant
Job Overview
The Operations Administrative Assistant will be based at our Little Rock, AR 1800 building. The duties of the Administrative Assistant will vary each day. Reporting to the Director of Facilities, this position will also support Operations, Physical Security, and Purchasing. The candidate will be a multi-tasker with excellent time management and ability to communicate will multiple departments. Attention to detail and organization is key to ensuring projects/assignments are on time and to company standards.
Duties & Responsibilities:
The responsibilities will include the following:
  • Help prepare weekly/monthly reports to monitor expenses regarding inventory, equipment, and ongoing projects.
  • Monitor status of ongoing projects and provide updates.
  • Provide administrative support to various departments as needed.
  • Review and approve purchase orders for various departments on a daily/weekly basis.
  • Assist in signing, renewing, and maintaining contracts.
  • Enter purchase orders for various departments.
  • Scheduling meetings and assisting in travel arrangements.
  • Other duties as assigned.

Qualifications and Essential Functions:
  • 5+ years of administrative experience.
  • Ability to prioritize and multi-task daily.
  • Organizational skills, including multitasking and time management.
  • Strong written and verbal communication skills.
  • Outstanding Excel skills. Strong working knowledge of Microsoft office platforms.
  • Strong work ethic.

Job functions require long periods of sitting and working from computer workstation; ability to multi-task, problem solve, and prioritize daily workload; excellent organization and record keeping skills; comfortable with oral and written communications. Requires extended periods of sitting, normal walking, bending, twisting, and stretching. Capability of sight and hearing required. Ability to deal with stressful situations and occasionally working extended hours. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
