Summary: The Executive Assistant provides high-level administrative, organizational, and operational  support to the Senior Pastor and Executive Pastor, ensuring the effective functioning of church leadership  and daily operations. This role requires exceptional discretion, strong organizational skills, emotional  intelligence, and the ability to manage multiple priorities in a fast-paced ministry environment. 
Executive & Administrative Support:
  • Provide direct administrative support to executive leadership, including calendar management,  scheduling, correspondence, and meeting coordination. 
  • Serve as a primary point of contact between executive leadership and staff, ministry leaders, members,  and external partners. 
  • Draft, edit, and format correspondence, reports, agendas, and official church documents on behalf of  Senior & Executive Pastors. 
  • Provide proactive administrative support by managing priorities, scheduling, logistics, and leadership coordination. 

Calendar, Meetings & Event Coordination:
  • Manage calendars including meetings, worship-related commitments, and pastoral engagements.
  • Prepare agendas, take notes, track action items, and follow up to ensure execution.
  • Coordinate logistics with Office Assistant for leadership meetings, retreats, funerals, weddings, and  major church events. 
  • Assist with travel arrangements and itineraries when required. 

Communication & Information Management:
  • Handle confidential information with discretion and integrity. 
  • Maintain organized digital and physical filing systems. 
  • Support internal communications and leadership updates. 
  • Partner with the Communications Manager to ensure alignment with leadership messaging. 

Systems, Processes & Operations:
  • Assist in improving administrative workflows and systems. 
  • Manage office logistics and administrative tools. 
  • Support church initiatives and strategic priorities.

Time Commitment & Work Structure:
  • This is a part-time position averaging approximately 30 hours per week.
  • Scheduling may vary based on ministry events and leadership needs, including occasional evenings and weekends. 
  • Work location may include a combination of on-site and limited hybrid work based on ministry needs and leadership approval.  
  • Perform other related duties as assigned to support ministry operations and leadership priorities. 

Qualifications:
Experience as an executive or administrative assistant. 
Strong organizational and communication skills. 
Ability to exercise discretion and maintain confidentiality. 
Demonstrated emotional intelligence, including professionalism, interpersonal awareness, and respectful engagement with diverse individuals. 
Proficiency with Microsoft Office and digital tools. 
Experience in a church or nonprofit setting is preferred.
