We are looking for a passionate and detail-oriented Wholesale Operations Specialist to support and improve the operational processes of our wholesale business. This position will work closely with the Sales Specialist, Warehouse Team, Management, other departments and other regions to ensure seamless workflow, efficient operations, and exceptional customer satisfaction. The ideal candidate will manage a variety of tasks, including logistics, supply chain coordination, system optimization, and administrative support, while contributing to the overall success of our wholesale operations.


Responsibilities:

Logistics and Supply Chain Management

  • Coordinate and oversee transportation logistics, ensuring on-time delivery of wholesale customer orders.
  • Manage inventory levels in collaboration with the merchandising & warehouse team, ensuring accurate stock levels to meet wholesale demand.
  • Determining action for incoming product and freight claims. 
  • Investigate and resolve freight claims or delivery discrepancies in a timely manner.


Process Improvement

  • Evaluate current operational processes and recommend improvements to enhance efficiency and reduce costs.
  • Collaborate with internal teams to implement solutions for workflow optimization and process automation.


Order Management

  • Coordinate order changes, cancellations, backorders, substitutions, and special requests between customers, sales, warehouse, and finance.
  • Coordinate product samples for sales representatives, wholesale customers, trade shows, and special projects.
  • Maintain an organized sample inventory and tracking system, ensuring all samples within the showroom studio are properly stored, organized, and returned to their designated locations after being shipped to sales representatives.
  • Accurately input and process wholesale customer orders received via Brandboom, email, EDI, or other platforms.
  • Monitor order fulfillment and address any delays or issues proactively to ensure customer satisfaction.
  • Issue invoices to customers through QBO.
  • Occasionally work outside the normal work schedule such as holiday, weekends depend on the shipment schedules.

Customer Support

  • Communicate with wholesale customers regarding order updates, product availability, and shipping information in a professional and timely manner.
  • Troubleshoot and resolve customer inquiries related to wholesale orders, logistics, and product claims.
  • Support for Sales Reps in Canada Europe & the US with regards to customer and product information.


Sales & Products

  • Work with the E-commerce team to prepare and consolidate master incoming product information and documentation.
  • Collaborate closely with the Sales and Merchandising teams on wholesale inventory planning and ordering.
  • Coordinate with the Sales and Merchandising in Vancouver and China teams to arrange and track product samples required by the Wholesale team.
  • Support the preparation and organization of product information and materials for key sales initiatives, including collection catalogues and other sales materials.


Documentation and Administrative Support

  • Ensure accurate documentation of operational processes, policies, and procedures.
  • Manage incoming and outgoing correspondence, including email, courier packages, and other critical documentation.
  • Order and maintain office supplies, ensuring the smooth operation of the office environment.


Team Collaboration and Support

  • Work cross-functionally with sales, marketing, and operations teams to achieve departmental and company goals.
  • Assist with setting and achieving key performance indicators (KPIs) for wholesale operational success.
  • Assist Sales Specialist with preparing sales numbers to understand overall sales performance.
  • Support trade show preparations and participate in events, as needed.


Qualifications:

  • Minimum 2 years of experience in an operational, logistics, or supply chain role, preferably within wholesale apparel or related industries.
  • Proficiency with Excel for data consolidation and analysis
  • Familiarity with systems such as Brandboom, EDI, and inventory management platforms.
  • Knowledge with exporting products to the US is an advantage.
  • High attention to detail and process orientation.
  • Proven ability to work independently and collaboratively within a team.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
