Job description

We are seeking a proactive and highly organized Logistics Assistant Manager – Exhibitor and External Shipments to oversee the coordination and execution of domestic exhibitor shipments for trade shows, as well as external freight and distribution logistics. This role is responsible for ensuring the smooth and timely transportation of exhibitor materials to and from trade shows while also managing broader logistics operations, including outbound shipments to clients and partners. This is a hybrid position that requires occasional travel to trade show venues in and out of state (more frequent in Spring and Fall) as well as warehouse and corporate locations for coordination and oversight.

Key Responsibilities:Exhibitor and Trade Show Logistics:

Plan, coordinate, and oversee the domestic shipping and handling of exhibitor materials, ensuring adherence to advance warehouse deadlines, show-site receiving windows, and move-in/move-out schedules.

Work with carriers, drayage providers, and event coordinators to ensure timely and compliant freight movement.

Manage on-site logistics during events

External Shipment Management:

Oversee the transportation of goods, materials, and equipment outside of trade shows, ensuring on-time deliveries and cost efficiency.

Manage relationships with carriers, suppliers, agents and exhibitors to optimize shipping routes and reduce costs.

Inventory and Supply Chain Coordination:

Maintain accurate tracking of exhibitor materials, external shipments, and inventory movement.

Work with warehouse and distribution teams to ensure smooth inbound and outbound logistics.

Implement process improvements to enhance supply chain efficiency and reduce transit delays. Coordinate freight trapping, consolidation, and warehouse storage for trade show shipments.

Budget and Cost Optimization:

Monitor logistics costs for both exhibitor and external shipments, identifying opportunities for savings and efficiency improvements.

Negotiate competitive freight rates with carriers and logistics providers.

Collaboration and Problem-Solving:

Work cross-functionally with marketing, sales, exhibitor services and operations teams to align logistics with overall business objectives.

Troubleshoot and resolve logistics-related issues, including delays, damages, and carrier disputes.

Occasionally travel to trade shows and exhibitor locations to oversee shipping operations and ensure quality control.

Qualifications and Skills:

Education: Logistics, Supply Chain Management, Business, or a related field (preferred).

Experience: 5+ years in logistics, freight management, supply chain operations, or event logistics, with experience in both exhibitor and external shipping.

Technical Skills: Proficiency in logistics and inventory management software, Microsoft Office Suite, and ERP systems.

Problem-Solving and Organization: Ability to manage multiple shipments and logistics operations simultaneously while maintaining attention to detail.
