Public Works is seeking a detail-oriented and organized individual to support a records cleanup and retention initiative. This role will support the department's records management efforts by organizing, reviewing, and preparing physical records for retention, archiving, or secure destruction in accordance with the Washington State Archives Local Government Common Records Retention (CORE) and the City's Records Retention policies.
Records to be reviewed include construction (plans, specifications, design and construction reports, notes), utilities (water, sewer, stormwater), transportation, right-of-way, permits, and general administrative files.
Role & Responsibilities
Records Review & Classification
- Review boxed records and ensure contents match inventory
- Determine retention status based on City policy, business needs, and Washington State Archives CORE
- Create new folders as required based on record contents
- Update inventory with corrections to contents and retention status
Organization & Disposition
- Organize records based on disposition: keep, destroy, or State Archivist review.
- Clearly label boxes and folders according to disposition
Documentation & Compliance
- Ensure records are handled in accordance with legal and departmental policies
- Complete tracking forms and logs for records disposition
- Support audit readiness by maintaining organized documentation
Coordination & Logistics
- Coordinate with internal teams and external parties for disposition
- Maintain confidentiality and data security throughout all tasks
Deliverables
- Completed records inventory spreadsheet
- Summary report of records processed during assignment
Qualifications
Education and experience:
- Associate's degree or high school diploma /G.E.D. with 2 years of college level coursework
- Five years of progressively responsible administrative support experience
- May require relevant certification or higher education coursework as it pertains to the department/division
- Experience with Public Works Construction, Utilities, or other construction experience preferred
- Experience with Public records preferred
- Experience with Washington State Archives Local Government Common Records (CORE) a plus
- Any combination of education and experience that provides the desired knowledge, skills and abilities to perform the essential duties of the position
