Job description

Reporting to the Maintenance Manager, responsibilities for this position include the following:

  1. Process supplier invoices, statements, and prepare correspondence and paymentsย 
  2. Process and audit interdepartmental transfers.
  3. Coding invoices relating to maintenance work for respective locations and departments, working with the Finance department to ensure payment
  4. Assist with the preparation or follow up items relating to internal and external audits (as required)
  5. Maintaining data entry of records and inventory for the department (ex: electronic data filing)
  6. Maintain open, honest, and ongoing communication with the team & managementย 
  7. Assist with email monitoring regarding maintenance requests (where needed)
  8. Perform other duties as assigned.ย 

Qualifications

  • Grade XII required.

  • Office Administrative Assistant Certification is required, or a combination of education & relevant experience may be considered for this role.

  • One year of data entry related experience

  • Fully proficient with Microsoft 365, specifically Outlook, Word & Excel

  • Positive attitude, strong interpersonal skills, and self-motivation.ย 

  • Excellent communication and customer service skills, with the ability to work effectively with co-workers and customers.ย 

  • Ability to multitask and adjust priorities to meet overall maintenance objectives.

  • Availability to work mornings & afternoons.
