Job Summary:

The Loan Operations Administrator is responsible for assisting the Chief Banking Officer and Loan Operations Manager by ensuring the integrity and efficiency of operations-related processes within the core system and loan systems. This role focuses on maintaining data integrity, system consistency, and adherence to governance policies, while identifying opportunities for automation and improving operational efficiency. The Loan Operations Administrator collaborates with cross-functional teams to manage loan documentations, oversee system updates, and generate accurate reporting. They also ensure that all operations comply with regulatory guidelines and internal policies.

Key Responsibilities:

  • Loan Documentation & Process Management:
    1. Maintain and review loan documentation using core banking and loan origination systems, ensuring compliance with internal guidelines and external regulations.
    2. Assist in identifying and resolving bottlenecks in loan processing, while ensuring data integrity and alignment with governance standards.
    3. Oversee loan closings, ensuring accurate file management and system consistency.
  • Project Management & Systems Oversight:
    1. Serve as the project manager for loan system enhancements and process improvement initiatives, ensuring all projects align with loan operations goals and governance standards.
    2. Collaborate with cross-functional teams, including IT, loan operations, and external vendors, to implement new systems or updates to existing platforms such as SilverLake, LaserPro, Encompass, LoanVantage, and other relevant loan systems.
    3. Manage project timelines, resources, and stakeholder communications to ensure the successful execution of system integrations and process automation.
    4. Lead process improvement efforts focused on automating manual workflows, ensuring data integrity and enhancing system efficiency.
    5. Oversee change control management for system upgrades, ensuring all changes are documented, tested, and rolled out in compliance with governance policies.
  • Data Integrity & Automation:
  1. Ensure data integrity within core and loan systems by automating manual processes, improving operational accuracy, and reducing errors.
  2. Lead initiatives to implement automation solutions that streamline loan processing and enhance system governance.
  • Data Analysis, Reporting & Governance:
    1. Conduct analysis of loan system performance to identify areas for improvement and implement recommended changes.
    2. Prepare automated reports for executive management and regulatory reviews, ensuring they adhere to governance policies.
    3. Oversee reconciliation of loan servicing transactions, ensuring accurate and timely reporting.
  • Internal Support:
    1. Act as a key resource for stakeholders by providing expertise on core and loan systems, including updates and improvements.
    2. Train loan operations specialists on new system features and process enhancements, with a focus on data governance and automation.
    3. Collaborate with team members to address operational challenges, resolve issues, and maintain consistency in loan procedures.

Required Qualifications: Knowledge / Skill / Ability

  • Bachelor’s degree in business, finance, or a related field preferred.
  • 10+ years of experience in Loan Operations, with a focus on both consumer and commercial loans.
  • Strong familiarity with loan documentation, data integrity, core system, governance, and compliance, including federal and state regulations.
  • Excellent in system operations, including managing software platforms like SilverLake, LaserPro, Encompass, LoanVantage, and other relevant loan systems.
  • Proven analytical skills, with the ability to gather and interpret loan performance data from core and loan systems, ensuring compliance with governance policies.
  • Experience in automation and process improvement in loan operations systems.
  • Strong project management experience, particularly in improving loan operations systems, data consistency, and automation processes.
  • Report Writing expertise with the ability to create automated and manual reports aligned with business and regulatory requirements.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-laced environment, handling multiple priorities while maintaining attention to detail and system consistency.
