Job description

Regional Assistant

Purpose:ย 

The Regional Assistant supports students, families, staff, and the Regional Principal throughout the Rogue Valley region. A primary responsibility of this position is coordinating, setting up, operating, and supporting pop-up Regional Student Centers at multiple locations throughout the region.

The Regional Assistant provides a welcoming and effective in-person presence for Baker Charter Schools (BCS), supports regional events and student services, assists families and staff, manages assigned advisory students, and completes administrative and logistical responsibilities for the Regional Principal.

This position includes regular regional travel, some remote workdays, and work at temporary or rotating Student Center locations.

Essential Job Functions:ย 

Regional Student Center and Pop-Up Site Coordination

  • Create and maintain a friendly, calm, welcoming, and professional environment for students, families, staff, and visitors at all regional locations.
  • Coordinate the scheduling, preparation, setup, operation, and breakdown of pop-up Student Centers at various locations throughout the Rogue Valley region.
  • Work with the Regional Principal to identify appropriate locations, schedules, and operational needs for regional Student Center services.
  • Transport, organize, set up, and maintain supplies, equipment, technology, signage, materials, and other resources needed to operate pop-up Student Centers.
  • Ensure each temporary Student Center location is appropriately prepared to serve students, families, and staff.
  • Assist with arranging furniture and equipment based on the needs of meetings, student activities, family events, testing, interviews, and other regional programming.
  • Coordinate access to facilities and work with facility contacts regarding keys, access, building concerns, janitorial needs, technology needs, or other site-related matters as appropriate.
  • Assist BCS staff with maintaining regional spaces before and after events. The Regional Assistant is not responsible for routinely cleaning up after employees but will support expectations that staff leave shared spaces clean and orderly.
  • Identify and communicate facility, supply, safety, or operational concerns to the Regional Principal.

Regional Scheduling and Administrative Support

  • Maintain the region's shared calendar and coordinate the use of regional and pop-up Student Center spaces by staff.
  • Maintain awareness of the Regional Principal's schedule in order to appropriately assist students, families, and staff who are attempting to contact or meet with the Principal.
  • Coordinate with the Regional Principal and BCS staff regarding meetings, interviews, parent/family nights, student activities, professional meetings, and other events.
  • Ensure appropriate supplies, materials, food, beverages, technology, and other resources are available for regional meetings and events as directed.
  • Coordinate office and Student Center supply needs, maintain current inventory, and complete an annual inventory of regional supplies.
  • Work with the Regional Principal and designated purchasing systems or shared documents to order supplies as needed.
  • Make trips to the post office or shipping locations, prepare and ship materials, receive deliveries, check regional mail as applicable, and distribute materials to appropriate staff.
  • Coordinate with the Regional Principal regarding embroidery or branding of BCS-approved staff gear when needed.
  • Complete other routine administrative and organizational responsibilities necessary to support regional operations.

Student and Family Support

  • Provide a welcoming point of contact for students and families accessing regional services.
  • Answer calls and assist families with basic technology troubleshooting and direct more complex technology concerns to the appropriate BCS staff.
  • Help students and families identify and connect with appropriate school staff and resources.
  • Support students during Student Center hours and regional activities consistent with the expectations of the position.
  • Maintain confidentiality and professionalism when working with students, families, employees, and school information.

Professional Responsibilities

  • Support and model the mission, expectations, and values of Baker Charter Schools.
  • Report to work prepared to effectively serve students, families, and staff.
  • Establish and maintain cooperative and professional working relationships with students, families, staff, community partners, facility representatives, and others encountered in the course of work.
  • Demonstrate ongoing professional growth and participate in professional development as required.
  • Design, maintain, and monitor a continuing professional growth plan as appropriate to the position.
  • Communicate effectively with the Regional Principal regarding regional operations, student needs, scheduling, facilities, and other responsibilities.

Additional Duties:

Performs other related tasks as assigned by the Regional Principal, Superintendent, or other designated administrators.

Work Location and Schedule:

This is a regional position serving students, families, and staff throughout the Rogue Valley area.

The Regional Assistant's work schedule may include:

  • Work at rotating or temporary pop-up Student Center locations throughout the region.
  • Work at BCS offices, meeting locations, community facilities, or other designated regional sites.
  • Some remote workdays from an approved home office or other approved remote work location.
  • Regional meetings, student or family events, staff meetings, professional development, and other school-related activities.

The specific combination of in-person, regional, and remote work may vary based on Student Center schedules, student and family needs, regional programming, and direction from the Regional Principal.

Travel Requirements:

Regular travel throughout the Rogue Valley region is an essential function of this position.

The Regional Assistant must be able to travel between Student Center locations, community facilities, meetings, events, and other designated work locations.

  • Required work-related travel time will be included as compensable work time for this non-exempt position in accordance with BCS policy and applicable wage-and-hour requirements.
  • Authorized work-related mileage and/or other travel expenses will be reimbursed in accordance with BCS travel and reimbursement policies.
  • Meals will be provided or reimbursed consistent with BCS policy, when required work-related travel is more than 50 miles.
  • Travel may also be required for monthly staff meetings, professional meetings, all-staff meetings held elsewhere in Oregon, new-staff training, and other required school activities.
  • Occasional overnight travel may be required.

The employee must possess a valid driver's license, have reliable access to a vehicle, and maintain automobile insurance meeting applicable legal and BCS requirements.

Physical and Mental Demands, Work Hazards:

The Regional Assistant works in a combination of remote/home-office settings, BCS facilities, community locations, temporary Student Center sites, and other regional work locations.

Because Student Centers may operate in a variety of facilities, working conditions may vary. The work environment may include quiet office settings as well as environments with moderate to loud noise and varying indoor temperatures.

The position requires:

  • Regular use of a computer and other electronic devices.
  • Frequent communication with students, families, staff, and community members.
  • Regular driving and travel between work locations.
  • Ability to move and arrange supplies, technology, tables, chairs, signage, and other materials needed for Student Center operations.
  • Bending, stooping, reaching, kneeling, and other movements associated with setting up and breaking down temporary workspaces.
  • Occasional lifting and carrying of items weighing up to 20 pounds.
  • Precise control of fingers and hand movements for computer and office-equipment use.
  • Ability to maintain focus and exercise sound judgment while managing multiple responsibilities and changing work environments.

Qualifications Profile:
