Job description

Position Summary

The Dispatch Compliance Officer plays a critical operational role in managing high-volume dispatch logistics while enforcing strict regulatory, safety, and administrative compliance. This position oversees daily driver coordination, ensures complete documentation (BOLs, freight bills, and payroll), and maintains active communication between drivers, customers, and field managers in a fast-paced construction trucking environment.

Key Responsibilities

  • Dispatch & Logistics Coordination: Efficiently assist dispatching 40–200 trucks daily; pre-plan and secure truck availability early to meet operational requirements.
  • Driver & Customer Communication: Serve as the a point of contact for drivers and clients via phone, email, and messaging platforms; disseminate work orders and routes while resolving driver inquiries under tight deadlines.
  • Compliance & Documentation Oversight: Review, organize, and archive all driver compliance documents , job files, and regulatory compliance documents.
  • Operational Reporting & Tracking: Maintain spreadsheets, update dispatch systems , and provide frequent status updates to management and project partners.
  • Compliance & Carrier Onboarding Support: Assist with driver onboarding packets, insurance documents, and certified payroll or prevailing wage tracking as required.

Qualifications

  • Software Proficiency: Highly skilled in Excel, OneNote, Google Workspace (Drive, Gmail), communication apps (WhatsApp, Signal, Teams), and logistics/telematics platforms (Fleet Complete, Rose Rocket).
  • Communication & Professionalism: Excellent written and verbal communication skills, including strong phone etiquette and the ability to articulate instructions clearly under pressure.
  • Organization & Multitasking: Exceptional organizational skills, strong information recall, superior time management, and the ability to prioritize daily tasks effectively.
  • High Attention to Detail: Precise in managing critical paperwork, verifying driver compliance, and maintain detailed internal logs.

Experience Requirements

  • Required: Advanced Microsoft Office (Excel, OneNote, etc.) skills, Google Workspace (Sheets, Docs, etc. ) proficiency , Clerical experience
  • Preferred: Background handling public works documentation, certified payroll, fuel tracking, QuickBooks, or regulatory compliance standards.
