We are growing and looking for an energetic, highly organized Office Manager to become a cornerstone of our daily operations. This is a hands-on, varied role in a fast-paced distribution environment โ€” no two days are exactly alike, and your contributions will be felt immediately across every part of the business.

Position Overview:
The Office Manager at Luminosity Supply & Solutions is far more than a desk job. You will serve as the operational hub of our office, supporting purchasing, sales, assisting with warehouse coordination, assisting vendor and rep agency relationships, and ensuring our office runs at peak efficiency. This is an ideal opportunity for a motivated self-starter who enjoys wearing multiple hats and wants to grow alongside a company in a dynamic and expanding industry.

Key Responsibilities:
Sales & Customer Support:
  • Serve as a contact for customer inquiries, providing responsive and knowledgeable support to our sales team. Assist with order entry, quote preparation, follow-ups, and ensuring customers receive accurate and timely information on product availability, lead times, and pricing.
Warehouse Coordination:
  • Work alongside the team to assist with day-to-day warehouse operations, including helping to coordinate incoming shipments, verifying purchase orders against packing slips, and maintaining organized inventory records. Serve as a communication bridge between the sales floor and the warehouse.
Vendor & Rep Agency Relations:
  • Assist in negotiating pricing, terms, and special project quotes with manufacturer representative agencies and vendors. Maintain and develop strong working relationships with key reps to secure competitive pricing and favorable terms for the company and its customers.
Office Operations & Equipment Management:
  • Oversee the operation and routine maintenance of all office equipment, including computers, printers, phone systems, and shipping/receiving tools. Manage office supply inventory, coordinate with IT and facility service providers, and ensure the workspace remains organized and fully functional at all times.
Training & Product Knowledge:
  • Actively participate in manufacturer training sessions, rep agency product demonstrations, and industry seminars to continuously build and maintain a strong working knowledge of our lighting, controls, and electrical product lines. Share relevant knowledge with the broader team to support sales effectiveness.
General Administration & Marketing:
  • Handle day-to-day administrative duties including answering phones, managing correspondence, maintaining filing systems (digital and physical), supporting accounts receivable and payable processes and assisting management with reporting and special projects as needed. Handle monthly Newsletter, blog and weekly social media postings.

Qualifications & Requirements:
Requirement; Detail:
  • Experience: 3+ years of office management or administrative experience required.
  • Industry Preference: Background in distribution, wholesale, electrical, lighting, or construction is a strong plus.
  • Software Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook); QuickBooks experience preferred, ย  INFORM ERP experience helpful but not mandatory.
  • Communication: Excellent verbal and written communication skills; professional phone and email etiquette.
  • Negotiation: Comfortable negotiating pricing and terms with vendors and rep agencies.
  • Organization: Exceptional multitasking and organizational abilities in a fast-paced environment.
  • Team Player: Collaborative attitude with the ability to work effectively in a small, close-knit team.
  • Education: High school diploma or GED required; Associateโ€™s or Bachelorโ€™s degree in Business preferred.

The Office Manager works primarily in a professional office environment adjacent to a warehouse and distribution floor.
