JOB SUMMARY The Administrative Assistant is responsible for providing day to day business support, staffing and administrative services for the PCN Program. This position is essential to assist in the efficient and effective management of the PCN Operations ensure inquiries, and general administrative issues are dealt with in a timely and appropriate manner. KEY RESPONSIBILITIES Schedule and organize meetings and events; Type memos, confidential reports, agendas and general correspondence on behalf of the Manager, Primary Care or other team members within the department; Maintain department document library; Maintain department policies and procedures; Record, type and distribute minutes where required; Proofread transcribed correspondence for grammatical accuracy, sentence structure and content; Receive and prioritize incoming phone messages, e-mails, faxes, mail, couriers etc.; Prepare forms and presentations where required; Provide telephone support for department; directs calls; Take and relay messages; Schedule and notifie clients of appointments; Perform general office duties such as data entry, filing, photocopying, faxing, processing mail; Order and maintain stationery, office supplies, etc., following approved purchasing guidelines; Reconcile Visa reports, as required. REQUIRED QUALIFICATIONS AND OTHER JOB REQUIREMENTS High school graduation plus an additional administrative support program/ course(s) of over six months and up to one year or equivalent; One year of previous experience is also required; Demonstrated proficiency in all of the following areas: Microsoft Applications (Beginner Level)- Word, Excel, Outlook , PowerPoint, Typing, Medical Terminology, Data Entry; Submit a valid and clean criminal record check; Ability to work efficiently as a member of the team and possess strong interpersonal skills, good judgment and decision making skills; Must demonstrate the ability to work independently and with minimal supervision; Able to work all shifts as assigned, maintaining a good attendance record; A high regard for confidentiality All interested applicants are encouraged to apply as an equivalent combination of education, training and experience may be considered.
