Job description

Job Title: Technical Operations & Process Documentation Specialist
Role Overview
We are seeking an experienced Technical Operations & Process Documentation Specialist to act as the primary translator between our high-level field experts and the documentation library. In this role, you will design, draft, and maintain the critical operational manuals, Standard Operating Procedures (SOPs), and job aids that govern safe and efficient work in the field.
You will be the architect of our "field-ready" knowledge base. This position is not a desk-bound writing role; it requires the ability to step out into the field, conduct job walks, interview Subject Matter Experts (SMEs), and translate complex technical input into plain, usable language that technicians can reliably follow on the job.
Key Responsibilities
Documentation Architecture & Design
• Technical Lifecycle Ownership: Design, draft, and maintain a wide array of documentation, including Process Maps, SOPs, Job Aids, Performance Support Notebooks, and comprehensive operational manuals.
• Governance & Standards: Ensure all documentation adheres to strict internal governance and formatting standards, ensuring consistency across safety requirements and regulatory policies.
• Field Accessibility: Guarantee that all produced materials are "field-ready," practical, and easily accessible for personnel working in demanding industrial or utility environments.
SME Facilitation & Operational Research
• Working Session Facilitation: Schedule and lead working sessions with SMEs, safety reviewers, and advisors. Capture consensus, reconcile conflicting technical perspectives, and translate field-practice decisions into standardized work methods.
• Field Research: Conduct on-site visits and job walks to gain a firsthand understanding of actual work practices, ensuring the written procedures accurately reflect real-world execution.
• Content Integration: Synthesize diverse inputs-including vendor specs, policy updates, and training materials-into cohesive, standardized documentation templates.
Project Support & Documentation Maintenance
• Change Management: Maintain and update existing documentation in response to pilot projects, new tools/equipment rollouts, safety workstream changes, and corrective actions.
• Media Integration: Perform basic image editing to enhance instructional clarity and coordinate with media vendors to script and develop instructional video content.
• Project Delivery: Collaborate with Project Managers and Continuous Improvement teams to provide status updates, uphold approval workflows, and meet project timelines.
Qualifications & Requirements
Minimum Qualifications
• Education: Bachelor's degree in Communications, Technical Writing, or a related technical/industrial discipline.
• Experience Baseline:
o5-8+ years of total technical writing experience; OR
o3-5+ years of technical writing experience coupled with strong professional exposure to utilities, energy, construction, or heavy industrial field operations.
• Communication: Ability to translate complex technical/engineering input into plain, field-usable language that respects the technical audience.
• Technical Literacy: Proficiency in Microsoft Office (Word, Excel, PowerPoint), Visio (for process mapping), SharePoint/OneDrive, Acrobat, and Co-Pilot.
• Writing Discipline: Proven mastery of version control, organizational standards, and documentation governance.
Preferred Attributes
• Proven ability to thrive in a collaborative environment across diverse organizational units (from the C-suite to the field technician).
• Familiarity with photo editing and basic media scripting/development to enhance documentation quality.
