A Service Advisor is vital to ensuring an excellent customer experience by serving as the main link between the customer and the service department. This role requires strong communication, organizational skills, and technical understanding to accurately assess service needs, coordinate work with technicians, and keep customers informed. The Service Advisor helps build trust and long-term relationships while ensuring service operations run smoothly and efficiently.


  • Greet and communicate with customers to schedule service appointments and review repair needs.

  • Check in customer equipment upon arrival and document details accurately.

  • Open work orders as directed by the Service Manager/Shop Foreman and maintain control until closed and invoiced.

  • Communicate with customers regarding service status, cost estimates, and final invoices, including collection of payment for services rendered.

  • Work with technicians to accurately quote service work and ensure timely completion.

  • Maintain service department records, files, and information libraries (bulletins, manuals, etc.).

  • Update customer profiles with equipment details, hours, and other information from work orders.

  • Assist Service Manager/Shop Foreman in controlling department expenses.

  • Assist in scheduling and coordinating internal and external technician training.

  • Support Service Manager in coordinating customer clinics, field days, and related promotional events.

  • Promote additional services and products to support customer needs.

  • Deliver excellent customer service to build long-term relationships and drive repeat business.


What's Required

Skills / Experience

  • Strong customer service focus with excellent oral and written communication skills.

  • Highly organized, detail-oriented, and motivated with the ability to multi-task in a fast-paced environment.

  • Basic mechanical knowledge to communicate intelligently with customers about the repair process.

  • Computer proficiency, including Microsoft Word, Excel, and service management systems.

  • High integrity, reliability, and professionalism; strong team player with flexibility to adapt to changing priorities.

  • Able to work a varying work schedule/shift and be flexible
  • Demonstrated ability to stay organized, prioritize effectively, and remain calm under stress.

 Preferred Experience

  • Excellent time management skills to manage work orders in a high-volume shop
  • Communicating with customers and providing excellent customer service 
  • Previous experience as a Service Advisor or in a customer-facing service role preferred.

Compensation is competitive and based on skill level, proven experience, and knowledge.

Education

  • High school diploma or equivalent required.

  • Associate’s or Bachelor’s degree in Business, Automotive/Diesel Technology, or related field preferred.

Physical Requirements

  • Regularly required to stand, sit, talk, hear, and use hands/fingers to operate a computer keyboard, telephone, and other service-related tools.

  • Specific vision abilities include close vision for reading service orders, invoices, and computer screens.

  • Hearing ability sufficient to communicate with customers and coworkers in person and over the phone.

  • Occasional lifting of up to 25 lbs. may be required.

  • Ability to bend, stoop, and reach as needed.
