Job Summary
We are seeking a detail-oriented and organized Administrative Coordinator to join our team. In this role, you will support operations across our high-volume warehouse and manufacturing facilities and scientific lab settings. As an Administrative Coordinator, you will be responsible for maintaining the integrity of our digital and physical filing systems, executing high-volume data entry into our ERP platform, and ensuring daily operations run smoothly by adhering to safety and operational guidelines. Responsibilities Include:
  • Data Management: Accurately input, update, and maintain critical records within our systems using high-speed data entry techniques.
  • Document Control: Scan physical documents into the digital document control library and maintain physical records in precise sequential order using Microsoft Office & Excel.
  • Operational Support: Partner closely with leadership as an Administrative Coordinator to coordinate communication between the tracking teams, front office, and the warehouse and manufacturing floor.
  • Operational Compliance: Safely and efficiently meet all daily operational requirements by strictly following standard operating procedures and work instructions across the site, including specialized lab environments.
  • Team Support: Handle additional tasks, special projects, and other duties as assigned by leadership to support the department.
Skills & Qualifications:
  • Education: High School Diploma or equivalent required.
  • Experience: At least 1 year of dedicated experience in a professional data entry position.
  • Software Skills: Hands-on experience or familiarity with SAP ERP systems, scanning software, and intermediate functions within Microsoft Office & Excel.
  • Work Environment Familiarity: Previous experience or comfort working within a fast-paced warehouse and manufacturing site or a compliance-driven lab environment is highly preferred.
  • Organization: Strong organizational skills with a proven ability to manage high-volume filing systems without error using Microsoft Office & Excel.
  • Communication & Literacy: * Demonstrated written and verbal English communication skills to effectively report results and issues.
    • Ability to read, understand, and act on written instructions, safety warning labels, and company placards.
    • Active listening skills to appropriately process and execute instructions provided by managers and team leads.
  • Adaptability: Flexibility and a proactive desire to take on additional responsibilities as the role evolves.
