Position Summary

The Project Administrator Lead provides detail-oriented, highly organized administrative support to the project management team within the electrical construction industry. This role oversees job setup, compliance, documentation, vendor coordination, and field-team support to ensure projects remain ready and operations run efficiently and accurately throughout all phases of construction and supervise the work of other project administration personnel in the construction and the service department.

Key Responsibilities
  • Provide comprehensive administrative support to ensure seamless project execution.
  • Create and maintain project channels and profiles in various systems including:
    • Microsoft Teams
    • QuickBooks Online (QBO) – synced to Kojo
    • BusyBusy
    • One Key
    • Levelset
  • Distribute official project Welcome Letters to internal and external stakeholders.
  • Handle job start forms, request and track Certificates of Insurance (COIs) for subcontractors and vendors for onboarding.
  • Manage credit and pre-qualification applications.
  • Manage and keep current all badging, fingerprinting, and vehicle insurance, especially for airport jobs.
  • Coordinate airport badging and vehicle permitting for project personnel as required.
  • Manage all badging to ensure overall compliance for each project site.
  • Submit supplier/vendor job start forms on behalf of the PM.
  • Request construction permits and inspections; maintain ongoing compliance with city, county, and client-specific regulations.
  • Request and track performance/payment bonds letters for projects, when applicable.
  • Complete and submit credit applications as needed for new vendors or suppliers.
  • Set up business licenses if required by the jurisdiction for permit pulls (rare but occasionally necessary).
  • Review and renew business certifications.
  • Coordinate inspections for projects.
  • Prepare and send out payment applications, as well as maintain, and update a centralized Pay App Tracker to capture all project billing, ensuring accuracy, timeliness, and consistency across reports.
  • Request lien waivers for payment applications as needed.
  • Assist in the preparation and maintenance of WIP reports.
  • Set up and organize job folders and related documentation.
  • Facilitate and oversee the process of drug screening as required by GCs.
  • Manage and lead the project administration team
  • Coordinate cross-departmental communication and activities
  • Oversee multiple projects to ensure deadlines and objectives are met
  • Liaise directly with senior management to report on project progress and team performance
Qualifications
  • 2+ years of experience in construction administration, electrical service department dispatch and/or project management or a related field preferred.
  • Strong organizational and communication skills.
  • Ability to manage multiple tasks and deadlines with accuracy.
  • Familiarity with permit processes, COI requests, and contractor documentation.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and construction tech tools (QBO, Kojo, Levelset, BusyBusy).
  • Self-motivated, team-oriented, and capable of working independently.
  • Advanced Excel skills with the ability to build and manage trackers.
  • Knowledge of the electrical field is a plus.
