Job description

TITLE: District Central Registrar

POSITION SUMMARY:

The Camdenton R-3 School District is looking for an individual who desires to contribute to the overall success of our district. Our Laker administrative team focuses on the utilization of effective, efficient systems to support program development, staff well-being, and professional inter-personal relationships. Effective administrative assistants model servant mindedness, initiative, accountability and self-reflection as they grow in their effectiveness. The successful candidate will interact in a positive and supportive manner to enroll students new to the district. Additionally, this individual will collaborate with district administrators and support personnel to ensure accurate and effective data entry and reporting to meet DESE requirements for core data.

QUALIFICATIONS:

  • High School Diploma
  • Excellent public relations skills and experience to provide a knowledgeable, welcoming office environment dealing with sensitive and confidential personnel files and records.
  • Familiarity and competency using Google Workspace and Frontline Education software.
  • Consideration given to experience in staffing management
  • Minimum of five years secretarial or administrative experience.
  • Such alternatives to the above qualifications as the Board of Education may find appropriate and acceptable.

GENERAL REQUIREMENTS: Faculty / Support Staff Expectations

REPORTS TO:  Assistant Superintendent, Human Resources and Compliance

ESSENTIAL FUNCTIONS AND KEY RESPONSIBILITIES:

Central Registrar
Meet with new families in the Camdenton R-3 District. Register all new students into Infinite Campus by working with families to complete the Online Registration

  • Conduct Safe School Check for all registering students.
  • Request student records via the Infinite Campus District to District Records Transfer
  • Ensure all required documents and verifications for enrollment are complete and accurate.
  • Schedule appointments for students / families to meet with specific building enrollment staff to complete the enrollment and scheduling process.
  • Coordinate start dates for students among the relevant buildings.

Infinite Campus, Core Data and Assessment Support

  • First line of support for Infinite Campus calls from district personnel.
  • Coordinate Photos for Students and Staff (twice a year) (1 hour per building)
    • Send files to the Vendor
    • Upload Photos to Infinite Campus
    • Upload files to Google Drive
  • Generate Reports from Infinite Campus for staff as requested
  • Updated Infinite Campus with Personnel Changes (5 -8 hours per month) Add person and demographics into Infinite Campus. Assign Employment and Assign / Remove access for retirement, resignations, and terminations in all district platforms.
  • Daily Unique ID extracts between Infinite Campus and DESE (10-15 minutes daily)
  • Elementary Building Master Schedules (Begins in January)
  • Monitor Portal Request Processor
  • Maintain Rostering in District platforms
  • Complete roster uploads for State, district and building level assessments including MAP and EOC practice sessions through DESE's third party vendor Data Recognition Corp. (DRC)
  • Attend and help with Back to School Fair
  • Back up / Cross Train with Core Data Specialist

EVALUATION:  Performance of this job will be evaluated in accordance with provisions of the Board's Policy on Evaluation of Support Staff.

TERMS OF EMPLOYMENT

  • 250 days; 8.0 hrs / day. Does not include a 30 minute lunch.
  • Pay Range: Starting at $17.12 (plus credit for up to 7 years of relevant experience)
  • Benefits include Board paid health insurance, paid sick leave, retirement and other.
