LETTERSHOP SPECIALIST JOB DESCRIPTION

STANDARD HOURS: Monday - Friday from 12 noon to 8:30 p.m.

Position Overview: The Lettershop Specialist is responsible for producing specialized print and mailing projects in accordance with customer specifications, quality standards, and departmental procedures. This role involves operating and maintaining a range of print equipment—including laser printers, inkjet printers, Xanté machines, Riso printers, and other essential machinery—while performing routine maintenance to ensure consistent, high-quality output. The Lettershop Specialist also helps manage and prioritize daily workloads to meet deadlines efficiently and productively. Success in this role requires strong teamwork, effective communication, and a focus on efficiency and accuracy.

Responsibilities will include, but not limited to, the following. Other duties or projects may be assigned to meet business needs.

  • Set up and operate Lettershop production machines, including digital printers, inkjet machines, and other related equipment, ensuring first article sign-off approvals, on-time delivery and adherence to quality standards.
  • Monitor and report maintenance or repair needs for all Lettershop equipment to minimize downtime and maintain peak performance.
  • Support accurate tracking and job management by utilizing Pioneer’s database & Trello.
  • Maintain personal productivity and uphold quality standards to help the company deliver exceptional service to customers.
  • Collaborate with managers to share feedback, exchange ideas and contribute to continuous improvement efforts.
  • Maintain ongoing communication and teamwork with the Data Processing team to streamline workflows and enhance production quality.
  • Adhere to all safety and health regulations within the Lettershop environment.
  • Crosstrain with all production teams to enhance flexibility and ensure the efficient fulfillment of production requirements.
  • Adjust work schedules as needed to meet deadlines during peak periods or expedited production timelines.
  • Perform other duties as assigned.

Required Knowledge, Skills and Abilities: To perform this job successfully, an individual must be able to perform each responsibility satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • The minimum education required for this position is a high school diploma or equivalent. Work-related experience of 1+ years in mailing or a business-related area is preferred.
  • Excellent interpersonal skills with a positive attitude and a collaborative team-oriented mindset.
  • Proactive and accountable, demonstrating a strong sense of urgency in responsibilities.
  • Committed to delivering exceptional customer service. Able to apply experience and independent judgment to navigate unique and complex situations.

Physical Requirements & Environmental Conditions: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The physical demands required while performing the duties of this job include:

  • Required regularly to stand, sit, talk, walk, carry, speak/ articulate, and hear and lift up to 50 lbs.; occasionally this position requires the incumbent to stoop, kneel or crouch.
  • Ability to stand for an 8-hour shift may be required on a limited basis.
  • This position may require the employee/applicant to drive a motor vehicle.
  • The employee/applicant is frequently required to use manual dexterity–hand/finger coordination, grasp, reach and use color vision.
  • The noise level in the work environment is usually moderate.

Standard Hours: 12 noon to 8:30 p.m. Monday through Friday (2nd Shift)
