Job description

Our law office is growing fast, and we’re searching for a full-time legal intake specialist to help us succeed! You’ll serve as the compassionate voice of our law firm, fielding inbound calls from prospective clients in their time of need, screening and surveying for potential cases, and helping our lawyers manage their meetings. Compensation:

$11 - $16 hourly


Responsibilities:
  • Screen incoming potential client phone calls to make sure the case falls within the scope of the firm, while helping the caller feel heard and understood
  • Book consultations for prospective clients with our lawyers to expand our caseload and ensure meeting schedules are accurate
  • Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files
  • Conduct various tasks around the office such as managing spreadsheets, writing emails, faxing and copying, and transcribing notes to make sure all processes run smoothly
  • Coordinate awareness initiatives and foster relationships with other attorneys alongside the marketing team in order to help grow our prospective client base

Other Duties Include:

  • Greeting clients and visitors and answering visitor inquiries
  • Answering and routing incoming calls on a multi-line telephone system
  • Scheduling and routing clients
  • Maintaining and scheduling conference rooms
  • Maintaining the waiting area, lobby, or other public areas
  • Serving water, coffee, or tea to guests
  • Ordering supplies
  • Scanning, photocopying, faxing, and filing documents
  • Collecting, delivering, and routing mail and hand-delivered packages
  • Verifying employee identification and issuing visitor passes

Qualifications:
  • CRM and case management software experience a plus
  • Possesses outstanding communication skills and sense of empathy
  • Sales or customer service experience highly valued
  • Skilled with Microsoft Office, especially Microsoft Excel
  • Solid data entry, spreadsheet management, and computer skills
