Welcome to Love's! The Legal Department Assistant and Project Analyst will serve as the administrative and project support hub for the Legal Department, providing department-wide assistance to a team of attorneys, paralegals, and other legal professionals. Deliver day-to-day administrative support, coordinate departmental projects and processes related to contract management, regulatory compliance, corporate governance, legal billing, and office organization, and communicate with internal and external stakeholders. This position also supports the department's oversight of Licensing and cross-functional councils and task forces.

CORE RESPONSIBILITIES

Administrative Support

  • Provide scheduling, calendar management, and organizational support to the legal team, including targeted support to the Vice President of Legal and General Counsel, coordinating with internal and external stakeholders.
  • Prepare, review, and organize legal documents, contracts, reports, presentations, and correspondence.
  • Organize and maintain department files, records, and documentation, both electronic and physical, to ensure timely updates and accessibility.
  • Assist with basic financial tasks, including tracking expenses and processing invoices.
  • Prepare, file, and track deadlines for corporate filings, reports, and applications.
  • Coordinate execution of documents and notarization, as needed.
  • Liaise with internal departments and external parties, such as vendors, regulatory agencies, and outside counsel, on behalf of the legal team.
  • Process incoming and outgoing correspondence, including mail, courier, and document distribution for the department.
  • Support department onboarding processes for new team members.

Project and Analytical Support

  • Serve as a central point of contact for department requests, triaging and tracking projects and tasks across attorneys, paralegals, licensing, and task force workstreams.
  • Gather, organize, and present data for department reporting, project evaluations, and decision-making.
  • Assist legal team members in developing project management documents such as project schedules, meeting agendas and presentation materials, project plans, status reports, and tracking tools.
  • Coordinate resources and timelines for department projects, including cross-functional task force initiatives.
  • Conduct basic electronic research and gather information as directed by department members.
  • Assist with special projects and other duties as assigned by members of the Legal Department.

 

Legal Technology and AI Enablement

  • Leverage the department's legal technology platforms and tools to support efficient delivery of work product.
  • Utilize AI and generative AI tools to enhance research, drafting, organization, and other workflows, consistent with company policies and confidentiality requirements.
  • Support evaluation and rollout of new legal technology by participating in testing, providing end-user feedback, and assisting with training and adoption efforts across the department.
  • Stay current on emerging legal technology and AI trends relevant to administrative and project analyst practice and proactively identify opportunities to improve quality and efficiency in day-to-day work.

 

EDUCATION, EXPERIENCE, AND QUALIFICATIONS

Required

  • Associate's degree.
  • Minimum of two years' experience in an administrative, paralegal, or operations support role in a law firm or corporate legal department.
  • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook, and ability to learn new software and programs.
  • Excellent written and verbal communication skills.
  • Comfort with data gathering, basic analysis, and report preparation.
  • Attention to detail and a high level of accuracy, despite multiple interruptions.
  • Strong initiative and ability to anticipate department needs with minimal direction.
    • Familiarity with legal terminology and procedures.

 

Preferred

  • Bachelor's degree.
  • Experience with project coordination or project management.
  • Paralegal certificate or degree from an ABA-approved or institutionally accredited paralegal program.
  • Experience with AI and generative AI tools in a professional setting.
  • Public Notary designation (or willingness to pursue if requested).

 

PHYSICAL DEMANDS

    • Requires prolonged stationary positions and some position of self to access under desk storage or low filing drawers
    • Occasional moving of equipment and/or supplies up to 25 pounds.
      • Continuous operation of office equipment (e.g., keyboard, copy machine/printer, and calculator).
      • Ability to perceive sound at normal speaking levels with or without correction, and visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
      • Occasional evening or weekend work.
