How You Will Contribute

The Leasing & Marketing Specialist is responsible for supporting multiple apartment communities within an assigned portfolio by driving occupancy, generating leads, conducting tours, assisting with leasing operations, training team members, and executing marketing initiatives. This position travels between communities as needed to provide coverage during staffing shortages, support new lease-ups, assist with occupancy challenges, onboard new associates, and implement outreach and resident retention programs.

The ideal candidate is highly organized, sales-driven, adaptable, and capable of quickly integrating into different communities while maintaining company standards for customer service, leasing performance, and team development.

Things You Will Do

Leasing & Sales

  • Conduct property tours and present apartment homes, amenities, and community features to prospective residents.
  • Convert telephone, internet, and walk-in inquiries into qualified traffic and leases.
  • Maintain a strong closing ratio and achieve leasing goals established by management.
  • Process rental applications and complete lease documentation accurately and timely.
  • Follow up with prospects through phone, email, text, and CRM systems.
  • Assist with move-in preparation and resident onboarding.
  • Maintain accurate prospect and resident records in Yardi, Knock, RentCafe, and other property management systems.
  • Support lease renewals and resident retention initiatives.

Marketing & Outreach

  • Develop and execute community marketing plans to increase traffic and occupancy.
  • Establish and maintain relationships with local businesses, major employers, real estate agents, apartment locators, and community organizations.
  • Coordinate preferred employer programs and corporate outreach efforts.
  • Attend networking events, job fairs, housing expos, and community functions.
  • Manage social media content and online reputation initiatives.
  • Monitor and maintain listing accuracy on ILS sites including Apartments.com, Zillow, RentCafe, and other advertising platforms.
  • Distribute marketing materials and promotional items throughout target markets.
  • Conduct competitor market surveys and report findings to management.

Training & Team Development

  • Train newly hired leasing consultants and community team members on company leasing policies, procedures, and customer service standards.
  • Provide hands-on training in leasing systems, CRM platforms, lead management, application processing, and resident communications.
  • Coach team members on sales techniques, overcoming objections, closing strategies, and prospect follow-up.
  • Assist with onboarding and mentoring new associates during their first weeks of employment.
  • Conduct role-playing exercises and leasing workshops to improve conversion ratios and customer experience.
  • Train teams on Fair Housing compliance, company policies, and operational best practices.
  • Identify performance gaps and provide recommendations for additional training and development.
  • Support Regional Managers and Community Managers in implementing company initiatives and operational changes.
  • Serve as a resource and subject matter expert for leasing and marketing best practices across the portfolio.

Portfolio Support

  • Provide leasing office coverage for vacations, staffing shortages, training periods, and open positions.
  • Assist with lease-up communities, acquisition transitions, and special projects.
  • Support communities with occupancy challenges through focused leasing and marketing efforts.
  • Assist with implementation of new software systems, processes, and company programs.
  • Evaluate leasing team performance and provide feedback to Community Managers and Regional Managers.
  • Assist with resident events and retention programs as needed.
  • Travel regularly between assigned communities.

Customer Service

  • Deliver exceptional customer service to prospects, residents, vendors, and team members.
  • Respond to resident inquiries and concerns professionally and timely.
  • Assist with resident retention efforts and service recovery when needed.
  • Represent the company in a professional manner at all times.

Administrative Responsibilities

  • Complete daily leasing reports and traffic documentation.
  • Maintain accurate prospect follow-up and lead management.
  • Ensure compliance with Fair Housing laws and company policies.
  • Assist with reporting, audits, and file reviews as requested.
  • Participate in weekly meetings, training sessions, and portfolio reviews.
  • Provide feedback and recommendations regarding leasing trends, marketing effectiveness, and operational improvements.

Things You Will Need

Education/Qualifications

  • Minimum 2-3 years of apartment leasing experience required.
  • Prior experience training, mentoring, or leading leasing professionals preferred.
  • Strong sales, marketing, and closing skills.
  • Experience with Yardi, RentCafe, Knock CRM, and related property management software preferred.
  • Knowledge of Fair Housing regulations and multifamily operations.
  • Excellent verbal, written, presentation, and training skills.
  • Ability to work independently with minimal supervision.
  • Strong organizational and time management skills.
  • Reliable transportation and willingness to travel between communities.
  • Proficiency in Microsoft Office, social media platforms, and virtual meeting software.
