Job description

Eckerd College is currently seeking candidates for the position of Program Coordinator, Study Travel. This opportunity supports the planning, coordination, and delivery of immersive educational travel experiences for lifelong learners, situated at our waterfront property along the picturesque Boca Ciega Bay in St. Petersburg, Florida. In this role, you will work closely with the Manager of Study Travel to help ensure each program operates smoothly from initial planning through program completion.
As the Program Coordinator, you will serve as a point of contact for travel partners, program leaders, and participants, helping to organize itineraries, track program details and expenses, and support marketing and enrollment efforts. This person may serve as a group leader or back-up leader on certain domestic and international trips.
The role requires the incumbent to have knowledge of logistics coordination, virtual communication systems, travel planning, project administration, and basic financial processes. Ability to adapt to new technology systems and resolve basic technical issues is important to success in the position. The ideal candidate has the ability to manage simultaneous tasks and projects and meet deadlines with a high degree of accuracy.

Key Responsibilities
  • Support travelers from initial inquiry through program completion; communicate schedules, expectations and program details; manage registration and participant information; coordinate participant communications, including emails, updates and reminders.
  • Identify and coordinate with destination vendors, including transportation, accommodations, tour operators, and guest speakers, obtain quotes and oversee contracts and service agreements.
  • Track program expenses against projected budgets, process invoices and payment documentation for vendors, maintain financial records related to program operations, assist with financial reporting for individual programs.
  • Resolve logistical issues that arise during programs; support the Group Leader/Trip Host throughout program delivery; troubleshoot on-site challenges and respond quickly to unexpected changes (e.g., schedule adjustments, vendor issues, weather disruptions) while maintaining a consistent, high-quality participant experience.
  • Work with Study Travel Manager and Marketing staff to create promotional materials, including newsletter articles, brochures, and digital content, coordinate outreach events, webinars, and/or pre-departure meetings, assist manager in maintaining program information on web and registration platforms, support outreach to potential participants and alumni groups.
  • Assist in the preparation and orientation of Group Leaders or faculty leaders, coordinate training materials and program guidelines; serve as a support contact for volunteers and program leaders.
  • Research destinations and develop multi-day domestic and international itineraries aligned with program goals, participant interests and budget parameters.

Qualifications (minimum combined education and experience needed for position)
  • Bachelor's degree or 2-3 years of relevant experience in program administration; the equivalent combination of education and experience may be considered.
