Summary

Identify and record any vehicle damage(s) or vehicle handling issues to management. and complete daily inventories. Interfaces with Loaders, Administrative Support, Terminal Manager, Operations Manager, Customer(s)

Essential Duties and Responsibilities

  • Adhere to all AAR, customer, and manufacturer vehicle handling, inspection, and quality standards.
  • Inspect vehicles and accurately document damage, defects, and exceptions using required forms, systems, coding standards, photographs, and checklists.
  • Facilitate the damage claims process by identifying, investigating, documenting, assigning responsibility, and tracking claims through resolution.
  • Review camera footage and supporting documentation to verify damage occurrences, repair completion, and claim validity.
  • Research and process claims, including Notice of Damage (NOD), ITR claims, and other customer-required reporting, ensuring timely and accurate system entry.
  • Verify incoming and outgoing vehicle repairs and ensure all required documentation and photographs meet customer and company standards.
  • Administer damage claim processes and customer-specific requirements, including proper assignment of responsible parties (e.g., AWCT, KRI, Vascor, LEADEC, Haulaway, and other service providers).
  • Utilize company, customer, and third-party computer systems to enter, maintain, and retrieve claim and inspection information.
  • Train, coach, and support inspectors and team members on damage identification, claims procedures, photo requirements, coding standards, and after-hours claim processes.
  • Partner with Quality, Safety, Operations, and customer representatives to investigate, resolve, and prevent damage claims.
  • Participate in customer damage conference calls, management meetings, facility meetings, and other business-related discussions as required.
  • Maintain a thorough understanding of damage codes, inspection criteria, photo requirements, claim responsibility guidelines, and customer procedures.
  • Operate handheld devices, cameras, computers, and related technology to perform inspections and claims administration duties.
  • Promote a positive and professional work environment through effective communication and collaborative interactions with customers, vendors, co-workers, and management.
  • Adapt to changing business needs, customer requirements, operational priorities, and work assignments.
  • Perform work outdoors in all weather conditions and in active automotive, rail, or vehicle processing environments.
  • Other duties as assigned

Minimum Requirements

  • High School Diploma or equivalent required.
  • Valid driver's license with a good driving record and ability to maintain driving eligibility;
  • Ability to read, write, and comprehend documents, numbers, and written and verbal instructions in English, including accurate interpretation of vehicle identification numbers (VINs).
  • Basic computer skills and attention to detail sufficient to support scanning, data entry, and inventory processes.
  • Ability to adhere strictly to quality, safety, and operational standards without deviation.
  • Ability to communicate effectively and diplomatically, work cooperatively in a team environment, and maintain professional conduct with customers, vendors, coworkers, and management.
  • Sufficient visual acuity, balance, and coordination to safely operate and maneuver vehicles, including entering and exiting vehicles with limited door‑opening clearance.
  • Ability to stand, walk, and work outdoors in all weather conditions, including extreme conditions, for extended periods, including up to 12 or more hours per shift.
  • Ability to work all shifts, extended hours (12+ hours per day), and maintain regular and reliable attendance to meet customer requirements.
  • Ability to correctly identify and interpret vehicle manufacturer VIN numbers, routes, and destination

  • Previous inspection experience or training recommended
  • Knowledge of AAR and Manufacturer vehicle loading, securement, and vehicle handling standards and procedures
