Job description

Location: Palm Coast
Job Type: Full-Time
Schedule: Monday - Friday 8 a.m. - 5 p.m. with occasional evening meetings
MAY Management Services is seeking a highly organized, proactive, and service-driven Assistant General Manager (AGM) to support the daily operations and administrative functions of our Northeast Florida office. The AGM plays a key role in coordinating office activities, supporting staff, assisting with client relations, and helping drive efficiency across the branch.
This position works closely with the General Manager to ensure consistent service delivery, workflow alignment, and operational excellence. The AGM may assist with managing a small portfolio of communities and will help guide staff, processes, and client support initiatives.
This is an ideal opportunity for someone with CAM experience who is ready to grow into higher-level management responsibilities.
Leadership & Staff Support
  • Support the General Manager in overseeing a team of CAMs and administrative staff.
  • Assist in onboarding, training, and developing new hires.
  • Help monitor performance expectations and provide coaching as directed by the GM.
  • Foster a positive, collaborative, and high-functioning office environment.
  • Serve as a point of contact for day-to-day staff questions, needs, and escalations.

Office & Operations Management
  • Assist in managing daily office operations, ensuring smooth workflows and efficient service delivery.
  • Help maintain internal processes, calendars, and communication flow.
  • Support the management of a small portfolio of communities if assigned.
  • Partner with other departments (accounting, maintenance, HR) to coordinate services and resolve issues.
  • Ensure compliance with Florida HOA/COA statutes, company policies, and community standards.

Client & Relationship Support
  • Support the GM in maintaining strong relationships with association boards and community leaders.
  • Assist with client communication, meeting prep, and follow-up documentation.
  • Help coordinate responses to escalated client concerns and address issues promptly.
  • Participate in board meetings or onsite inspections as needed.

Strategic, Financial & Reporting Support
  • Assist with tracking office KPIs such as staff performance, client satisfaction, and operational accuracy.
  • Support the GM in preparing reports, summaries, and recommendations for leadership.
  • Assist with the budgeting process by gathering information, reviewing drafts, and tracking expenses.
  • Help identify workflow improvements and efficiency opportunities.

Project & Event Coordination
  • Assist with planning and executing staff meetings, and special projects.
  • Coordinate training sessions, compliance deadlines, and internal initiatives.

Requirements
Skills & Qualifications
  • Active Florida CAM (LCAM) license preferred; required within a designated timeframe if not currently held.
  • 2-4 years of experience in community association management, office leadership, or administrative operations.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Ability to maintain professionalism, confidentiality, and sound judgment.
  • Proficiency in Microsoft Office Suite and property management software.
  • Strong interpersonal skills with the ability to work effectively with staff, clients, and vendors.
  • Knowledge of Florida HOA/COA statutes preferred.

Physical Requirements
  • Ability to lift up to 25 lbs.
  • Ability to sit or stand for prolonged periods and use a computer.
  • Ability to navigate properties, walk stairs, and conduct field visits as needed.
  • Ability to communicate clearly in person, via phone, and electronically.

Supervisory Responsibilities
  • Assists the General Manager with oversight of CAMs and administrative staff but does not serve as the primary supervisor.
  • Acts as a support resource for staff questions, training, and accountability tasks.

Salary Description
$50,000 - $55,000 annually
