Job description

One of our favorite law firm clients is looking for a Receptionist to join their Seattle office. As the first point of contact for clients, guests, and employees, you would play a critical role in creating a welcoming and seamless experience that reflects the firm's commitment to excellence, professionalism, and client service.
You must thrive in a fast-paced environment, demonstrate exceptional organizational and communication skills, and possess a strong commitment to delivering outstanding service while managing multiple responsibilities with discretion and efficiency.
Key Responsibilities
  • Welcome and assist clients, guests, and employees in a professional and courteous manner.
  • Serve as the primary point of contact at the reception desk, ensuring a positive and polished visitor experience.
  • Answer and direct incoming telephone calls promptly and professionally, accurately relaying messages and responding to routine inquiries.
  • Coordinate and assign visitor offices for employees visiting the Seattle office.
  • Issue temporary employee badges and maintain badge tracking logs.
  • Distribute parking validation tickets to clients and guests and maintain associated records.
  • Coordinate office events, conference room scheduling, and meeting logistics.
  • Provide event and meeting support, including ordering catering, setting up and breaking down meeting rooms, and coordinating with IT to ensure audiovisual needs are met.
  • Process invoices and expense reimbursements using Emburse.
  • Order and maintain office and meeting supplies as needed.
  • Receive and distribute deliveries to the appropriate recipients.
  • Assist with the management of physical client and firm records.
  • Maintain the appearance and organization of the reception area, including seating areas, newspapers, and periodicals.
  • Provide administrative and operational support to ensure smooth daily office functions.
  • Exercise sound judgment and proactively resolve issues while maintaining confidentiality and professionalism.
Qualifications
  • High school diploma or equivalent required.
  • Minimum of two (2) years of reception experience in a law firm, professional services firm, or similar client-facing environment.
  • Experience coordinating events is a plus.
  • Proficiency with Microsoft Office Suite and Windows operating systems.
  • Strong interpersonal skills with the ability to interact effectively with individuals at all levels of the organization.
  • Demonstrated ability to work independently and manage multiple priorities simultaneously.
  • Excellent organizational, problem-solving, and time management skills.
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
