Job Summary

The Operations Administrative Assistant provides a broad range of administrative support functionsto the site's plant leadership with focus areas in production and maintenance. Typical hours are Monday - Friday, 8am - 430pm, subject to overtime as needed. There is no expected travel for this role.

Duties and Responsibilities:

  • Maintenance admin including purchasing and CMMS support including PM entry and maintenance, asset entry and hierarchy, stores inventory, etc.
  • Greeting and assisting visitors.
  • Provides clerical support, such as taking meeting notes, assistance in scanning and copying, reception, etc.
  • Serves as a primary point of contact for office communications. Prioritizes, composes, and disseminates information to internal and external customers. Responds to inquiries.
  • Schedules plant tours and corresponding activities
  • Coordinates, maintains, and creates various events, schedules, and calendars. Coordinates large group meetings as needed.
  • Assists with reporting for EHS and COS functions.
  • Purchases and initiates payments for office supplies, cafeteria supplies, equipment, and services.
  • Partners with the local HR Business Partner on employee recognition and engagement activities. Participates in site's engagement committee and maintains engagement calendar.
  • Models and promotes strong teamwork. Works with the Operations and Safety departments as needed.
  • Participates in special projects.
  • Will be required to perform other duties as requested, directed, or assigned

Required Knowledge/Skills/Abilities:

  • Excellent interpersonal and communication skills - both written and verbal.
  • Able to exercise high level of discretion and autonomy in completing tasks.
  • Able to problem solve and prioritize by urgency.
  • Proficient in Microsoft Office Suite with ability to quickly learn specialized software to complete work assignments.
  • Systems data entry experience preferred.

Education and Experience:

Required:

High School Diploma or GED Equivalent

Preferred:

  • Associate's degree
  • 1 - 3 years of experience of working in an administrative environment preferred.

Working Conditions:

Office environment.

Some presence on the plant floor, wearing appropriate PPE as needed.
