Description:

The Shipping Coordinator II is responsible for coordinating daily shipping activities through accurate computer-based data entry, shipment documentation, inventory system updates, and effective communication with internal departments, customers, carriers, and vendors. This position requires strong attention to detail, proficiency with Microsoft Office programs such as Excel and Word, and the ability to make and receive phone calls related to orders, shipments, inventory questions, and scheduling. The Shipping Coordinator II will verify shipment information, maintain accurate records, assist with order coordination, and help ensure products are shipped accurately and on time.


Requirements:


Duties/Responsibilities:

  • Review incoming and outgoing shipment information using inventory management systems, Microsoft Excel, Word, shipping documents, manifests, invoices, orders, and other records to verify accuracy.
  • Prepare, process, and maintain shipping documents, including bills of lading, shipping orders, pick tickets, packing slips, labels, and related paperwork.
  • Enter, update, and maintain shipment data in computer systems, including weights, freight charges, tracking information, shipment status, damages, discrepancies, and other recordkeeping details.
  • Use Microsoft Excel, Word, email, and internal software systems to organize shipping information, create reports, maintain logs, and communicate shipment updates.
  • Make and receive phone calls with customers, carriers, vendors, Sales, Customer Service, and internal team members regarding orders, shipping status, delivery schedules, inventory availability, quotes, dimensions, and shipment concerns.
  • Communicate clearly and professionally by phone, email, and in person to resolve issues related to damages, shortages, order discrepancies, delivery delays, and nonconformance to specifications.
  • Determine appropriate shipping methods using knowledge of shipping procedures, carrier requirements, routes, rates, and delivery timelines.
  • Print pick tickets from the inventory management system, review system updates throughout the day, and prioritize workloads based on order status, shipping deadlines, and business needs.
  • Assist Customer Service and Sales with inventory questions, product availability, quotes, shipment dimensions, and order-related concerns.
  • Requisition, track, and store shipping materials and supplies to maintain appropriate stock levels.
  • Provide day-to-day guidance within the Shipping department by helping organize workloads, monitor priorities, and support productivity and efficiency.
  • Maintain accurate electronic and paper records for reporting, accounting, auditing, and operational purposes.
  • Follow company procedures, safety guidelines, and documentation standards.
  • Performs other duties as assigned.


Required Skills/Abilities:

  • Excellent verbal and written communication skills, including professional phone etiquette and the ability to make and receive a high volume of business-related calls.
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and related business software.
  • Ability to accurately enter, review, and maintain information in inventory management, shipping, and accounting systems.
  • Strong organizational skills and attention to detail, especially when working with orders, shipment records, data, and documentation.
  • Excellent time management skills with the ability to prioritize multiple orders, calls, emails, and deadlines in a fast-paced environment.
  • Ability to communicate effectively with customers, carriers, vendors, Sales, Customer Service, warehouse personnel, and management.
  • Strong analytical and problem-solving skills, with the ability to identify discrepancies and help resolve shipment or order issues.
  • Ability to read and interpret shipping documents, invoices, manifests, purchase orders, and inventory reports.
  • Ability to work independently while also supporting team goals and daily department priorities.
  • Strong leadership skills with the ability to provide day-to-day guidance and assist with workload coordination.
  • Thorough understanding of shipping procedures, recordkeeping, freight documentation, and basic cost-related shipping considerations.
  • Proficient with, or able to quickly learn, company inventory management, shipping, and accounting software.


Education and Experience:

  • High School Diploma or GED required. Associate degree preferred.
  • 1–3 years of shipping, logistics, order processing, customer service, administrative, or related experience preferred.
  • Experience using Microsoft Excel, Word, Outlook, inventory systems, shipping software, or accounting software preferred.
  • Prior experience communicating with customers, vendors, carriers, or internal departments by phone and email preferred.
