Job Description:

The Director of First Impressions is a part time position that welcomes and directs clients, visitors and vendors while maintaining a professional and orderly office atmosphere; ensures all clients are provided with the highest level of hospitality; as well as acts in a supporting role for other business functions.


Job Responsibilities:

  • Maintain the lobby and its appearance
  • Turn all lights on every morning
  • Turn on TVs in every morning and make sure they are off in the evening
  • Greeting guests and ensuring they are taken care of while waiting for their appointment
  • Announce scheduled appointments to appropriate Planner’s office
  • Ensure vendors are directed to the appropriate area or person
  • Answer phones and route appropriately or take messages as needed
  • Order office supplies for the Office on a weekly basis
  • Receive, sort and distribute all incoming mail – USPS/UPS/FedEx, Courier Service, etc.
  • Prepare any shipping labels needed to go out via USPS/UPS/FedEx or Courier Service and make sure they are in the appropriate place for pickup
  • Prepare appointment schedule for next day after 2:00 pm
  • Kitchen – Keep kitchen neat & clean and keep all coffee, water, soda’s and supplies always needed for the kitchen stocked. Bake cookies for all appointments.
  • Oversee building responsibilities:
  • In charge of Holiday Decorating of the Lobby
  • Train all backup coverage as needed on Front Desk duties
  • Support the office staff with small projects and help with reports from time to time.

Job Qualifications:

Education:

  • University/college degree is an asset
  • Familiarity with phone systems
  • Previous experience with Microsoft Office software preferred
