Job Description

We are currently seeking qualified candidates to join Beacon Pointe Advisors as an Executive Assistant to the CEO in our Dallas, TX office at 3100 Monticello, in a full-time (40 hours/week) capacity. The ideal candidate will be responsible for serving as a trusted partner to the CEO by providing high-level executive and personal support and managing critical priorities and day-to-day operations.

Responsibilities

  • Manage calendar, meetings, and travel, ensuring time management is optimized
  • Coordinate with CEO’s Chief of Staff and Beacon Pointe Executive Leadership team
  • Support and coordinate communications with Kohlberg, Kravis & Roberts (KKR), our private equity partner
  • Support board and investor meetings by preparing materials, coordinating logistics, and setting up the boardroom
  • Compile notes from meetings
  • Maintain confidentiality when handling sensitive legal, financial, and personnel matters
  • Screen and prioritize incoming communications to ensure critical matters are handled first
  • Manage expense reports and budgets related to the executive office
  • Coordinate with internal teams and external business partners/vendors to ensure communications are seamless
  • Provide administrative support for organizational planning and communication efforts to maximize efficiency

Qualifications

  • Four-year college degree or equivalent experience required (Business Administration, Communications, or a related field preferred)
  • Minimum 1-2 years of executive-level support experience (preferably within the financial services or investment industry)
  • Experience processing expense reports and reimbursements
  • Experience with calendar management
  • Excellent interpersonal and verbal/written skills
  • Strong commitment to detail with excellent organization and prioritization skills
  • Proven ability to work in a fast-paced environment, evolving work environment and able to multi-task
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Office 365, etc.)
