Description

The Knee Regulatory Research Center in the John Chambers College of Business and Economics at West Virginia University is currently accepting applications for a Program Assistant.

About the Opportunity

The Program Assistant performs routine to complex administrative duties in support of the Knee Regulatory Research Center. The employee reports to the Assistant Director and provides administrative, financial, event, student program, and operational support for the Center's research, outreach, student programming, and public policy initiatives.

What You'll Do

  • Receives and greets visitors, guests, students, faculty, policymakers, donors, speakers, and other partners connected to the Knee Regulatory Research Center.

  • Answers telephone calls, screens messages, monitors email communications, and directs inquiries to the appropriate Center employee.

  • Provides administrative support for the Center Director, Assistant Director, faculty affiliates, research staff, fellows, and student workers.

  • Assists with scheduling meetings, reserving rooms, coordinating calendars, preparing agendas, taking notes, and maintaining meeting records for Center meetings, student programs, advisory meetings, and project meetings.

  • Assists with planning and coordinating Center events, conferences, guest lectures, student programs, reading groups, policy events, workshops, and meetings with external partners.

  • Supports logistics for visiting scholars, speakers, policymakers, donors, and guests, including travel coordination, lodging arrangements, schedules, room reservations, catering, parking, and event materials.

  • Coordinates and processes travel requests and reimbursements for Center staff, faculty, students, guests, and speakers through WVU systems such as Chrome River or similar systems.

  • Assists with maintaining state, Foundation, grant, and Research Corporation budgets connected to the Center.

  • Helps track Center spending, process payments, prepare financial documentation, reconcile purchasing card transactions, and organize budget records.

  • Supports Center student programs, including reading groups, undergraduate programs, fellowships, research projects, and student events.

  • Assists with preparation and organization of materials for reports, grant applications, donor updates, conferences, public policy projects, and Center publications.

  • Participates in the Koch Associate Program, a professional development initiative that includes monthly travel to Washington, D.C. for training sessions, seminars, and networking events focused on free market policy, leadership, and career development.

  • Participates in online, on campus, and occasional off campus training and professional development sessions to enhance job performance.

  • Performs related duties as assigned or directed.

Qualifications
  • Associates Degree in a related field.
  • One year of experience related to the role.
  • Demonstrated ability to be reliable, responsible, and professional in an academic, volunteer, or extracurricular setting.
  • Any involvement in student organizations, academic projects, leadership roles, or campus activities is preferred but not required.
  • Any equivalent combination of related education and/or experience will be considered
  • All qualifications must be met by the time of employment.

Knowledge, Skills, and Abilities

  • Knowledge of office methods, procedures, and protocol.

  • Strong knowledge of correct English, grammar, spelling, punctuation, and sentence structure.

  • Strong organizational and time management skills.

  • Strong mathematical skills sufficient to perform financial and budget related calculations.

  • Demonstrated ability to maintain confidential information.

  • Demonstrated ability to organize information, track projects, and draw logical conclusions.

  • Ability to use computers and related software, including Microsoft Word, Excel, PowerPoint, Outlook, Teams, and other WVU systems.

  • Ability to learn WVU financial, travel, purchasing, payroll, and administrative systems.

  • Excellent verbal and written communication skills.

  • Proven skill in interacting professionally with students, faculty, staff, guests, donors, policymakers, and members of the public.

  • Ability to manage multiple projects, deadlines, events, reports, requests, and administrative tasks.

  • Ability to work independently and as part of a team.

  • Ability to learn specialized terminology and information related to public policy, regulatory research, occupational licensing, economic freedom, and related areas.

  • Ability to apply WVU policies, procedures, and guidelines effectively.
