Description

The Operations Specialist is an office-based position responsible for providing administrative, reporting, and operational support to the Construction and Maintenance teams. This role serves as a key resource for maintaining accurate records, coordinating business processes, preparing reports, and assisting with departmental activities. The successful candidate will be detail-oriented, highly organized, and able to manage multiple priorities while supporting the efficient execution of business operations. 

Requirements

  • Provide administrative and operational support to the Construction and Maintenance management and staff. 
  • Assist with month-end close activities, including data collection, validation, and reporting related to oil and gas operations. 
  • Support accounts payable processes, including invoice review, coding, tracking, and documentation. 
  • Prepare and submit regulatory reports and maintain supporting records in accordance with company and regulatory requirements. 
  • Generate, maintain, and distribute daily, weekly, and monthly operational reports using various company systems and databases. 
  • Coordinate and participate in monthly accrual meetings, compiling and organizing supporting information as needed. 
  • Maintain accurate operational records, databases, and departmental documentation. 
  • Assist field personnel with administrative processes, paperwork submissions, recordkeeping, and office-related support. 
  • Enter, track, and reconcile work order information and operational data within company systems. 
  • Respond to internal requests for information and provide general administrative assistance to department personnel. 
  • Support special projects and process improvement initiatives as assigned. 
  • Perform other duties as assigned for which the employee is qualified and trained. 

 Qualifications

  • 3 to 5 years of experience in an administrative, operations support, or business support role within the oil and gas industry preferred. 
  • Proficiency in Microsoft Office Suite, with advanced skills in Excel and working knowledge of Word and Spotfire. 
  • Experience working with business applications and databases, including WellEZ, OpenInvoice/Ticket, or similar systems. 
  • Familiarity with work order processing, data entry, tracking, and reporting systems. 
  • Strong organizational, analytical, and problem-solving skills. 
  • Excellent written and verbal communication skills. 
  • Demonstrated ability to manage multiple priorities and meet deadlines. 
  • High level of accuracy, attention to detail, and commitment to maintaining confidential information. 
  • Strong customer service mindset with the ability to collaborate effectively across departments. 

Physical Demands and Exposures

  • Primarily an office-based position requiring extended periods of sitting and computer use. 
  • Frequent use of standard office equipment, including computers, telephones, and printers. 
  • Occasional standing, walking, bending, or lifting of office supplies and files up to 20 pounds. 
  • Limited travel or visits to operational facilities may be required on an infrequent basis. 
  • Work is primarily performed in an office environment.
