Summary About the Role This is not a traditional Executive Assistant position.
The Office of King County Councilmember Steffanie Fain is seeking a highly capable Executive Assistant & Operations Lead to serve as the operational backbone of a fast-moving public office. This role sits at the center of decision-making, coordination, execution, and ensures that priorities move forward, deadlines are met, and the Councilmember is fully prepared to lead on complex regional issues.

About the Office King County Council District 5 includes Normandy Park, Des Moines, SeaTac, and parts of Kent, Renton, and Tukwila. Councilmember Fain is a member of several committees of the King County Council and serves as Chair of the Transportation, Economy, and Environment Committee and the Regional Transit Committee. She also serves on the Boards of Sound Transit and the King County Regional Homelessness Authority. Job Duties Executive Support & Scheduling - Manage the Councilmember's calendar and inbox and serve as the primary point of contact for scheduling
- Respond to scheduling requests and coordinate logistics with internal and external partners
- Coordinate with staff to prepare daily briefing materials for meetings and events to ensure the Councilmember is fully prepared
- Track action items and ensure follow-through on commitments after meetings and events
- Anticipate needs and proactively resolve scheduling conflicts and logistical challenges
- Coordinate travel and meeting logistics
- Serve as the first point of contact for incoming emails and inquiries from constituents and community partners
- Triage and route requests to the appropriate team members
- Track follow-ups, deadlines, and outstanding items to ensure timely responses
Office Operations - Maintain organized systems for files, contacts, and internal workflows
- Support day-to-day office operations and administrative processes
- Assist with public records coordination and compliance
Events & Community Engagement - Coordinate logistics for meetings, community events, and Councilmember-hosted gatherings
- Support event preparation and follow-up
- Assist with documentation and organization of materials from events
- Attend meetings and events with the councilmember as needed, and provide staff support
Experience, Qualifications, Knowledge, Skills Required: - 5+ years of experience in an executive assistant, operations, or similar role
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to manage competing priorities with attention to detail
- High level of discretion and professionalism
- Ability to work in a hybrid environment, including in-office and in-district time
Preferred: - Experience supporting an executive, elected official, or leadership team
- Experience with complex calendar management and high-volume communications
- Experience with or knowledge of King County District 5
- Familiarity with government, public policy, or community-based work
- Experience building or improving internal systems and workflows
Supplemental Information Work Environment This is a hybrid position with a mix of remote work, in-office time in Seattle, in-district meetings and events. Occasional evening and weekend work may be required.
