Job description

Key Focus of the Position

The OpEx Administrator serves as a cross-functional documentation and coordination resource for the manufacturing facility, helping ensure processes are accurately documented, changes are controlled, information is standardized, and departments have the current documentation necessary to operate safely, efficiently, and consistently.

  • Create, revise, format, maintain, and track Standard Operating Procedures (SOPs), Work Instructions (WIs), forms, process documents, checklists, visual aids, and other controlled documentation used throughout the manufacturing facility.
  • Partner with Operations, Engineering, Quality, Maintenance, Safety, Human Resources, and other departments to ensure plant documentation accurately reflects current processes, equipment, responsibilities, and operating requirements.
  • Coordinate the document review, revision, and approval process, ensuring required stakeholders review and approve changes prior to implementation.
  • Maintain an organized document control system, including revision levels, effective dates, approval records, document owners, and change history.
  • Monitor documents for required reviews and revisions and proactively follow up with responsible departments to ensure documentation remains current.
  • Ensure obsolete or superseded documents are appropriately removed, archived, or replaced to prevent outdated information from being used on the manufacturing floor.
  • Assist departments with developing and updating clear, standardized work instructions, including process steps, photographs, diagrams, specifications, safety requirements, quality checkpoints, and other relevant information.
  • Conduct routine reviews of documentation available on the production floor to verify employees have access to the most current approved versions.
  • Support the standardization of documentation, templates, naming conventions, formatting, and recordkeeping practices across departments.
  • Maintain electronic and physical files to ensure documentation is organized, accessible, traceable, and audit-ready.
  • Assist with preparation for internal, customer, regulatory, and certification audits by locating documentation, verifying records, organizing supporting materials, and assisting with corrective documentation as needed.
  • Track open documentation requests, revisions, corrective actions, improvement initiatives, and other assigned OpEx activities to ensure items are completed within established timelines.
  • Support continuous improvement initiatives by collecting, organizing, tracking, and reporting information related to plant processes, improvement projects, action items, and performance measures.
  • Assist with the creation and maintenance of process maps, workflow documents, training materials, visual management tools, and standardized work documentation.
  • Participate in cross-functional meetings and improvement projects, documenting action items, responsibilities, due dates, and project status and following up with responsible parties as needed.
  • Assist the OpEx and Engineering teams with data entry, data collection, reporting, presentations, spreadsheets, project tracking, and administrative support related to plant improvement initiatives.
  • Identify documentation gaps, inconsistencies, outdated information, or opportunities for standardization and communicate findings to the appropriate department or process owner.
  • Coordinate documentation changes resulting from new equipment, process changes, engineering changes, quality improvements, safety requirements, or continuous improvement activities.
  • Work directly with employees, supervisors, engineers, technicians, and department leaders to understand existing processes and accurately translate those processes into clear written documentation.
  • Assist with ensuring employees are appropriately notified and/or trained when significant work instruction or process documentation changes are implemented.
  • Maintain confidentiality and appropriate control of sensitive company, employee, customer, and proprietary information.
  • Support 5S, Lean Manufacturing, Kaizen, standard work, waste reduction, and other Operational Excellence initiatives as assigned.
  • Provide general administrative and project coordination support to the Operational Excellence/Engineering department.
  • Perform other related duties and participate in special projects as assigned.
