Job description

POSITION: OFFICE ADMINISTRATOR

 

JOB RESPONSIBILITIES

·          Receptionist duties include  routing incoming calls to the appropriate party and taking clear, concise messages for site personnel, clients, and visitors and ensuring the timely delivery of the messages;

· Provide general clerical and administrative support to all levels of professionals including:

· Scanning of files

· Processing end of term leases

· File Organization        

· Tracking insurance certificates

· Tracking vehicle titles

· Boxing/Moving Files

· Data Entry / Updating Databases

· Receive incoming courier packages and prepare outgoing packages.

· Organize, sort, and distribute incoming and outgoing mail.

· Correspondence and general office administration.

EXPERIENCE/SKILLS

· A highly professional appearance and demeanor;

· Minimum of 3 years’ experience in an office administration position;

· Intermediate skills in Microsoft Office (Word, Excel, PowerPoint);

· Intermediate skills in MS Outlook and Internet navigation;

· The ability to prioritize and handle multiple tasks;

· The ability to type a minimum of 40 wpm;

· Excellent verbal and written communication, including excellent phone etiquette;

· Effective project management to meet all deadlines;

· Effectively handles confidential and sensitive information and materials;

· Professional - interacts with high-level contacts internally and externally;

· High degree of tact, diplomacy, discretion and judgment. 


EDUCATION /QUALIFICATIONS

· High school diploma or equivalent required; some college preferred;

· Relevant experience and training in front office administration is preferred.
