Job description

POSITION TITLE: Program and Ticketing Assistant (Part Time)

DEPARTMENT: Membership & Programs Department

REPORTING RELATIONSHIPS

REPORTS TO:Director of Programming & Membership

DIRECT REPORTS INCLUDE: N/A

WORK SCHEDULE: 29 hours per week, must be available to work certain evenings or weekends

STATUS: Part-time, non-exempt

COMPENSATION: $21 to $25 DOE

BENEFIT STATUS: Non-Eligible

Key Responsibilities:

  • Ticketing & Purchase Tracking 
  • Process and organize ticket purchases for The Ebell’s programs 
  • Track ticket sales, reservations, complimentary tickets, and guest lists 
  • Assist with ticket-related questions from guests and staff 
  • Manage Eventbrite event setup, including creating ticket links, Upticketing, and tracking registrations
  • Create JotForm RSVP links for website
  • Program Check-In 
  • Staff the check-in table for programs
  • Check guests in and verify ticket purchases or reservations 
  • Manage walk-ins, guest lists, and last-minute ticket changes 
  • Distribute programs, name tags, or other event materials as needed 
  • Provide a welcoming and helpful first point of contact for guests 
  • Program & Membership Support 
  • Send event reminders with parking instructions, event time and location, and other relevant information 
  • Assist with administrative and logistical tasks related to programs or membership as requested 
  • Prepare materials such as guest lists and seating charts before events 
  • Assist with basic event setup and breakdown, particularly around the check-in area 
  • Data & Administrative Support 
  • Process ticket and program-related purchases through JotForm, Eventbrite, and over the phone 
  • Reconcile ticket purchases with attendance information 
  • Maintain organized and accurate records for reporting and future reference 
  • Communicate with Accounting Department when ticketing or payment questions arise

Qualifications:

  • Previous experience in administrative support, ticketing, customer service, event support, or a related field 
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines 
  • Excellent attention to detail and accuracy, particularly when working with ticketing, registration, and attendance information 
  • Strong written and verbal communication skills 
  • Friendly, professional, and comfortable interacting with members, guests, and the general public
  • Ability to remain calm, flexible, and solution-oriented when handling last-minute changes or unexpected situations during events 
  • Comfortable working independently while also collaborating with staff and volunteers 
  • Proficiency with Microsoft Office
  • Ability to learn and work with ticketing, registration, and database systems; experience with Eventbrite or JotForm is a plus 
  • Ability to handle confidential or financial information with professionalism and discretion 
  • Availability to work occasional evenings and weekends for programs and events

Minimum Requirements:

  • Bachelor’s degree preferred; Associate degree or equivalent combination of education and experience accepted 
  • 2–3 years of related experience and/or training 
  • Nonprofit experience strongly preferred 
  • Some accounting or financial tracking experience strongly preferred 
  • Proficiency in Microsoft Excel, Word, and Outlook required
